Definition
Under direction, is responsible for serving as the confidential secretary to a position in the executive job family within the classified service; performs related duties as required.
Examples of Work

* Answers telephone calls and gives information to callers, connects callers to appropriate authority, or takes messages as necessary; ensures that priority information is relayed to the executive;
* Schedules appointments and maintains appointment calendar for the executive; locates and reserves appropriate room space for meetings and/or conferences;
* Takes, transcribes, and distributes verbatim minutes of meetings, boards, and hearings;
* Composes letters, office memoranda, and other correspondence for review and/or signature by the executive;
* Types letters, memos, legislation, contracts, and other documents using related software applications;
* Reads, date-stamps, and routes incoming mail for the executive;
* Prepares various information, confidential material, statistical reports, and other special data that may be needed for meetings, conferences, and other purposes;
* Assembles, collates, and copies various and comprehensive documents for meetings, presentations, and other uses;
* Collects and compiles information from various sources;
* Assists with special projects pertaining to the mission of the department;
* Maintains confidential filing system;
* Handles material of a sensitive and confidential nature;
* Participates on various committees and other similar activities;
* May track and verify section's employee work schedule details and time-off information.
Minimum Qualifications
Five (5) years of secretarial, clerical, or customer service experience. Substitution(s): College education may be substituted for up to four (4) years of the required experience on a year-for-year basis (thirty (30) semester/forty-five (45) quarter credit hours equals one (1) year).

QUALIFYING NONCOMPETITIVE EXAMINATION ANNOUNCEMENT: The names of the applicants passing this administration of this exam will be used to create a NEW, NONCOMPETITIVE, eligible list, and will replace the names of applicants on the current eligible list. If you are interested in having your name included on the new eligible list, you will need to apply for this exam within the filing period and successfully complete all phases of the testing process. Questions regarding this process can be directed to the Test Center at 614-###-####.
The examination process will consist of a situational judgement test weighted 20% covering Customer Service and Public Relations: a work simulation/computer skills exam weighted 80%, covering Spelling, Filing, Proofreading, Excel, Word, and Outlook 2010, and a pass/fail typing test requiring 50 words per minute proficiency.
The exam is expected to be administered in late January, early February. Approved applicants will be notified by mail/email of their scheduled test date and time.
All applicants must complete all phases of the testing process in order to receive a final score. The names of all candidates who pass this examination will remain on the eligible list for two years, unless the eligible list is replaced prior to or extended beyond the two years. If a candidate's name is certified and the candidate is to be considered for employment, the hiring process will include one or more interviews, a criminal background check, and a pre-employment drug test.
