TITLE: ADMINISTRATIVE SECRETARY FOR OPERATIONS DEPARTMENTPRIMARY FUNCTION:To organize and deliver the functions of the transportation and maintenance department in an efficient and professional manner and to serve as secretary and records clerk.QUALIFICATIONS:
  • Excellent computer technology skills required.
  • Intermediate software skills including Microsoft Office Suite and other data information managements systems.
  • Ability to communicate effectively orally and in writing with thorough knowledge of business English, spelling and mathematical operations.
  • Ability to deal with information in a confidential manner.
  • Ability to establish and maintain effective working relationships with others.
  • Detailed knowledge of business procedures, office/secretarial practices, and equipment use.
  • Ability to record and organize data for a variety of purposes and analysis.
  • Demonstrated aptitude or competence for assigned responsibilities.
  • REPORTS TO: Executive Director of OperationsPERFORMANCE RESPONSIBILITIES:
  • To provide general information and assistance to the public, school community, bus drivers, van drivers, maintenance/ custodial staff, and other school employees.
  • Receives incoming calls and responds to inquiries related to transportation or maintenance needs.
  • Accommodate needs of parents, community and staff in a courteous and professional manner.
  • To generate purchase orders, submit invoices for payment, assist with payroll reports and perform other routines associated with the office.
  • Performs clerical and accounting services for the transportation and maintenance departments.
  • To provide general services and maintain forms and files.
  • To assist in the preparation and management of the annual budget for the operations department.
  • To maintain a database of field trips being taken by students throughout the school division.
  • Coordinates the scheduling of drivers and bus aides for field trips, transportation requests, and substitutes for regular routes.
  • Maintains two-way communication between buses and the transportation office during regular route hours.
  • Strong working knowledge of accounting principles.
  • Must be a creative team player with heavy emphasis on customer service.
  • Ability to work independently in the absence of specific instruction.
  • Ability to establish and maintain effective working relationships with others.
  • Communicates with school personnel to keep student files updated; updates student information in databases.
  • Views and archive security videos; convert to email form to submit to the school administrators and department staff.
  • Serves as a substitute van/car driver or bus aide. CDL is a plus.
  • To perform other duties as assigned by the Executive Director of Operations.
  • PHYSICAL DEMANDS:Duties performed typically in office setting. Frequent walking, standing, stooping, lifting up to approximately 30 pounds, and occasional lifting of materials weighing up to approximately 50 pounds may be required. Occasional travel to schools/bus lot may be necessary. Vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, determining the accuracy and thoroughness of work, and observing general surroundings and activities; the worker is subject to inside and outside environmental conditions, noise and hazards. Regular contact with staff members, students, parents, and community members is required.
