Position Type: Secretarial/Administrative Secretary Date Posted: 12/11/2024Location: Tri-County Administrative OfficesMINIMUM QUALIFICATIONS: 1. High School Diploma or GED, Associate Degree in Business & Administration, Training & Development, Human Resources, or similar degree preferred 2. Experience in basic clerical duties including ability to type minimum of 35 words/minutes 3. Basic familiarity with Special Education and/or General Education preferred 4. Working knowledge of Microsoft and Google applications 5. Excellent written and verbal communication skills 6. Excellent organizational and multi-tasking skills 7. Strong work habits and ethics 8. Ability to develop and sustain effective working relationships with administration/staff/community TERMS OF EMPLOYMENT: Twelve (12) Months. 260 days, 7.5 hours per day, salary to be determined by the TCSE Executive Board, minimum of 30-minute, duty-free lunch REPORTS TO: Administrative Assistant to the Director and/or Director and/or Assistant Director ESSENTIAL JOB DUTIES: To assist Administrative Assistant to the Director in performing duties to support the needs of the Director and Assistant Director. PRIMARY RESPONSIBILITIES: 1. Prepare inter-office communication, and file pertinent documents for the three counties 2. Prepare Executive Board agenda/minutes/associated materials 3. Maintain Board Policies and Procedures as required 4. Prepare/file documents related to collective bargaining. 5. Prepare/file documents related to employee/Association grievances. 6. Prepare/submit/distribute school calendar and waivers, and TCSE program location calendars 7. Maintain personnel files of all required information: evaluations, license/certificate registration, background checks, etc. 8. Maintain/post Seniority and PERA lists for all classifications of personnel 9. Oversee Student and Personnel FACTS data in I-Star throughout the school year, resolve error logs, and forward data electronically to the Illinois State Board of Education for approval, verification, and/or reimbursement according to the annual deadlines established by ISBE 10. Oversee collection of daily/weekly/monthly student attendance in Tri-County schools and programs, compute attendance and enter on a Web-Based attendance program, forward information to member Districts, provide assistance to districts with error-resolution 11. Oversee annual and semi-annual Enrollments, Student and Teacher Course Assignments, Discipline, and other data required for reporting by ISBE ORGANIZATIONAL AND DATA MANAGEMENT RESPONSIBILITIES: 1. Complete reports and records accurately and promptly 2. Demonstrate appropriate and independent use of time, prioritize work assignments, exhibit initiative, and consult with appropriate personnel to complete assignments and projects PROFESSIONAL/PERSONAL TRAITS: 1. Demonstrate knowledge of and adherence to Federal, State, Local, and TCSE Policies and Procedures 2. Maintain high level of ethical behavior and confidentiality of private information related to students and employees 3. Maintain punctuality, regular attendance, and adherence to assigned work schedule 4. Maintain appropriate and accurate and respectful communications with TCSE employees, member district employees and administration, and outside agencies 5. Takes steps toward self-improvement (attend/participate in all mandatory meetings/trainings, participate in in-service activities as directed by his/her supervisor, select/attend other events or trainings to further develop his/her own professional skills 6. Participate in the ongoing assessment of his/her performance, accept and/or benefit from constructive feedback, and set and reach achievable professional development goals PHYSICAL REQUIREMENTS: (Physical requirements will be governed under the Americans with Disabilities Act) 1. Physically capable of lifting, pushing, or pulling up to 50 pounds on a regular basis 2. Must be able to speak, hear, see and write 3. Tasks require extensive use of hands including repetitive gripping, grasping, lifting and manipulation of equipment necessary to perform duties TECHNOLOGY EXPECTATIONS: 1. Demonstrate effective use of required and available technology and programs 2. Use technology to enhance productivity and professional practices including: word processing, databases, spreadsheets, telecommunications and print/graphic utilities, class attendance systems, Individual Education Plan (IEP) programs, Microsoft Office, Google applications, etc. OTHER DUTIES AS ASSIGNED:
