Administrative Specialist II - Circuit Clerk
Minimum Starting Hourly Rate: $18.38
Position Status: Full-Time
Work Schedule: Monday - Friday; 8:00 AM - 4:30 PM
Position Summary
The Administrative Specialist II performs highly specialized tasks in carrying out the detail work for a supervisor or department head in The Circuit Clerk's Office. Responsibilities routinely involve relieving the supervisor or staff of administrative and procedural details; anticipating the needs of those served; taking initiative to provide services not specifically requested; following through on the matters which would otherwise require the attention of those served; and accomplishing some segments of administrative work with little or no direction. Duties may include a wide range of administrative support functions such as customer service, recordkeeping, word processing and file maintenance, and may require advanced technological skills.
Essential Duties and Responsibilities
* Proofreads, photocopies, and processes public and court paperwork.
* Basic data entry.
* Establishes, compiles, maintains, and retrieves specialty computer and/or hard copy files or records.
* Files documents electronically and into physical court files.
* Interacts in person, by telephone with attorneys, county staff, and staff of other jurisdictions.
* Performs related work, as assigned.
* Responds to employee, citizen, and governmental requests for information, inquiries, or complaints.
* Reviews, copies, records, and distributes as appropriate information and forms related to client and/or employee incidents, accidents, and injuries; analyzes data.
* Prepares and submits narrative and statistical reports as assigned.
* Court user support.
* Performs other related duties as assigned.
Knowledge, Skills and Abilities
* Considerable knowledge of specific program requirements, terminology, methods, and procedures.
* Considerable knowledge of modern business practices.
* Considerable knowledge of English composition, spelling, and grammar.
* Knowledge of program-specific software packages.
* Some knowledge of accounting or bookkeeping practices and principles, as required by the position.
* Knowledge of local government operations, Human Resource related programs, policies and plans, and modern office practices and procedures.
* Knowledge of and experience with MS Office (Microsoft Word, Excel, Outlook), and other similar programs.
* Skills in customer service and public relations.
* Ability to effectively resolve conflicts and diffuse difficult situations in a tactful manner.
* Ability to understand and follow oral and written instructions.
* Ability to communicate effectively, both orally and in writing.
* Ability to make mathematical calculations quickly and accurately, as required by the position.
* Ability to establish and maintain effective working relationships with co-workers, supervisors, various external contacts, and the general public.
* Ability to get along with others and work effectively with co-workers and the general public.
* Ability to deal properly with confidential and sensitive matters.
Required Qualifications
* High school graduation, or possession of a GED Certificate, including or supplemented with course work in general clerical, or office procedures.
* Experience (1 - 2 years) in a general clerical and/or customer service work related to the functions of the position.
* OR any equivalent combination of education and experience that would provide the above noted knowledge, skills, and abilities.
* Applicants may be required to complete the Circuit Clerk's Clerical Exam and keyboarding test.
* Must pass a pre-employment background investigation to be hired for this position.
Physical Attributes/Demands
The work is light work which requires exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force to move objects. Requires mental acuity including the ability to make rational decisions through sound logic and deductive processes, the ability to express ideas by means of the spoken word and possess close visual acuity.

Full salary range: $18.38 - $28.48 per hour
