Job Description :
Our prominent law firm client is seeking an experienced Administrative Support Assistant to provide exceptional support to the Co-Chair of the Corporate Group and member of the Management Committee. The ideal candidate will have experience working in a fast-paced, high-pressure legal environment, managing multiple tasks efficiently, and building strong relationships with clients, attorneys, and administrative professionals.Key Responsibilities:
  • Calendar Management: Coordinate and manage complex calendars for attorneys, including organizing both international and domestic travel.
  • Meeting Coordination: Schedule and coordinate meetings with clients, prioritizing key contacts, and utilizing technology for virtual meetings (Zoom, Teams, etc.).
  • Household Management: Handle various personal management tasks such as travel, restaurant reservations and personal banking.
  • Billing and Administrative Tasks: Manage client billing, draft engagement letters, and new matter memos. Process attorney time records in the InTapp system.
  • Communication: Screen telephone calls, relay messages accurately, and draft correspondence and memoranda.
  • Expense Management: Process expense reimbursements through Chrome River.
  • Document Management: Review, categorize, and prioritize incoming mail and emails while maintaining confidentiality.
Required Skills & Qualifications:
  • Software Proficiency: Must be proficient in Outlook, iManage, Excel, EMS, and other legal applications.
  • Problem-Solving: Strong decision-making skills and the ability to follow complex instructions.
  • Professional Demeanor: Ability to interact professionally with clients, co-workers, and attorneys, both in person and over the phone.
  • Adaptability and Attention to Detail: Detailed-oriented with a proven ability to manage shifting priorities in a fast-paced environment.
  • Excellent Communication Skills: Strong verbal, written, organizational, and interpersonal skills.
  • Confidentiality: Ability to handle sensitive matters with diplomacy and tact.
Experience:
  • 2-5 years of administrative support experience in a law firm or professional services environment.
  • Bachelor's Degree preferred.
