Summary This position is in the Alexandria VA Health Care System Primary Care Service performing a variety of clerical, administrative and technical duties/responsibilities in support of management with the intent of accomplishing the administrative requirements of the organization to which assigned. Responsibilities The position requires knowledge of matters concerning the entire health care system, including administrative, clinical, and managerial. The incumbent maintains the strictest confidentiality of the Primary Care Administrative Office's business and correspondence. Incumbent has regular access to printed and electronic files containing sensitive data, which must be protected under the provisions of the Privacy Act and other applicable polices and regulations. The Incumbent serves as the records liaison for the Primary Care Administrative Office and is responsible for Administrative files pertaining to the operation of the office of Primary Care, establishing new files when necessary, in compliance with applicable VACO guidelines and regulations. Maintains the Chief of Primary Care's file plan, and properly dispositions records in a timely manner. The incumbent displays a comprehensive knowledge of the Department of Veterans Affairs organizational structure with the ability to recognize officials by position, title, and name. The incumbent provides guidance and assistance to facility secretarial and administrative support staff in interpreting and applying Medical Center policies relating to office automation and correspondence control. Work Schedule: Monday - Friday, 8:00am - 4:30pm (Subject to change based on the needs of the agency). Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/23/2025. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Using automated programs such as Microsoft Word, Excel, PowerPoint, Outlook, etc to prepare correspondence, memoranda, and/or reports; Providing accurate information to internal/external customers; Reviewing variety of documents for accuracy; AND Maintaining electronic and/or hard copy files in accordance with organization and agency policy. You will be rated on the following Competencies for this position: Clerical Financial Management Manages and Organizes Information Planning and Evaluating Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light items like papers or books. No special physical demands are required to perform the work. Hearing and distinct speech are essential due to the extensive use of the telephone as a means of communication to give instruction and receive information. Mental concentration to meet critical deadlines are essential.
