The School of Education educates majors and minors in preparation for a variety of career and graduate studies; and prepares educators and counselors for work in school systems and community agencies.

Primary Purpose of Position

The purpose of the position is to provide administrative support services for the Department of Counseling in the School of Education. The individual will work with the department chair, primarily assisting with departmental functions including course scheduling, Banner, coordinating web content, processing budget orders, and working with faculty and students. The position also requires preparation of correspondence, requisitions, forms, keeping records, budgets, filing systems; composing communications to vendors, accounting policies and other agencies; handling mail, supervising student worker(s),maintaining the website for the departments as the WIC, working with faculty and students in non-curricular areas such as outreach event planning. This position involves a number of diverse skills in dealing with many individuals requiring assistance of some kind daily. The person in this position needs to take the initiative to handle unforeseen problems that arise on a day to day basis within the department, such as changes in the work environment regarding computer technology; unforeseen course changes for faculty and students; problem solving malfunctioning equipment and other concerns. The position requires someone who can multi-task and make decisions, serve the stakeholders of the department, and communicate effectively across the campus.

Job Description

Support for Department Chair - Essential Function -

Applies knowledge of departmental programs, policies and procedures to interpret and communicate information to meet student and faculty needs. Demonstrates the ability to work with confidential and sensitive information such as student records and course grades. Independently composes letters, memos, and reports to support department functions. Responds to inquiries of students, faculty, other staff and stakeholders. Reviews and edits documents and website content. Serves as the Web Information Coordinator (WIC) and updates website regularly, including keeping office hours, bios, and CVs accurate and updated for all faculty in the department. Integrates software such Microsoft Office products, Google collaborative tools, Banner, Bravecart, and other applications to meet needs of department. Serves as a resource to other faculty and students about these applications. Exercises responsibility for administering the budget of the department including maintaining supplies and making recommendations for supply orders and travel contracts. Utilizes knowledge of the programs and problem solving skills to coordinate: appointments, meetings, manuals and organizational charts. Assembles information packets for open houses, recruitment fairs, and workshops utilizing substantive knowledge of the programs. Communicates with departmental faculty regarding meetings, directives, and departmental business. Serves as a liaison with adjunct faculty and staff at distance learning sites. Works with Program Coordinators/Directors in preparing advising materials. Conducts research to locate and retrieve instructional materials requested by faculty. Creates inventories of instructional books/materials for faculty. Collects survey data for faculty and creates reports. Facilitates course schedules production in software and between chairs. Inputs the schedule using university software for all courses within departments each semester to meet deadline established by Registrar's Office. Answers phone on the third ring, directs calls, takes and delivers messages to faculty and staff. Assists with copier maintenance and assists faculty/staff in using the copier. Covers for other associates in the School of Education in their absence. Maintains office files. Keeps correspondence and reports available for reference. Provides assistance for faculty outside the School of Education teaching courses in the Education Building. Assists with special events planning. Utilizes and manipulates data from Banner. Responds to requests for supplies, budget items, and facilities resources, and makes informed recommendations regarding these requests. Supports field placement agreements and tracking for the department. Other duties as needed.
