Rate: $23.00 to $25.00 Shift differential for shifts starting after 3pmPOSITION SUMMARYThe Admissions Assistant provides administrative support to the members of the Admissions Department. This position interacts in a positive, professional, and confidential manner on with the inquiries, prospective residents and their families, residents, team members, vendors, private duty caregivers and others using verbal and written communication.PRIMARY RESPONSIBILITIES
- Answer the telephone, take messages and distribute to the appropriate person.
- Answer email and respond appropriately or distribute to the appropriate person.
- Manage prospective resident and family concerns and refers to the appropriate team members.
- Enters information in Matrix Care marketing module as requested or assigned.
- Conducts basic Discovery and conducts preliminary tours in the absence of the Admissions sales team.
- Prepares regular reports as requested primarily using Matrix Care data.
- Assists in arranging meetings and networking events including room set-up, food arrangement, invitations, and follow up.
- Supports the Admissions Teams to ensure all paperwork for admissions and internal moves is complete as directed.
- Ensures rooms are ready prior to move-ins and communicates with Facilities.
- Provides some technical assistance with both hardware and software or requests assistance as needed.
- Maintains a master calendar for the Admissions Department.
- Schedules meetings, and tours with prospects and schedules nurse assessments and other appointments related to admissions.
- Maintains inventory of Admission office supplies, and orders and stocks as needed.
- Prepares, codes, and submits expense reports.
- Maintain complex and confidential electronic and paper files and records as needed.
- Reviews and verifies materials for completeness and conformance with established standards and procedures.
- Conducts market research as requested such as ordering competitor brochures and pricing.
- Assist in developing, distributing and tracking email and direct mail campaigns.
- Support the marketing team with planning, implementing, and monitoring marketing campaigns.
- Assist with the production of marketing materials and collateral.
- Evaluate data and create reports on key metrics in order to monitor campaign efficiency and analyze trends.
- Write and edit content for different platforms such as social media, website, and press releases.
- Employ marketing analytics techniques to gather important data (social media, web analytics, rankings etc.).
- Assist in the organizing of promotional events and traditional or digital campaigns and attend them to facilitate their success.
- Compose and post online content on the company's website and social media accounts.
- May be asked to write marketing literature (brochures, press releases etc.) to augment the company's presence in the market.
- May be asked to assist in taking and editing photographs.
- Other duties as assigned
QUALIFICATIONS
- Excellent verbal, written, and communication skills and attention to detail.
- Proficient in all areas of basic computer skills and programs to include Word, Excel, PowerPoint, Outlook and ability to learn other programs including MatrixCare, Zoom and other programs.
- Ability to communicate sensitive and confidential information with a variety of individuals and groups and to convey a positive image of The Redwoods.
- Work under pressure and maintain a business-like manner.
- Communicate with residents, families, team members, regulatory agencies and others with diplomacy, tact, and courtesy.
- Associates Degree in marketing, communications, business or equivalent discipline; Bachelor's Degree is preferred.
- One year of sales experience preferred and willingness to learn sales and marketing skills.
- Photography skills preferred.
Physical Requirements:
- The position requires extensive walking and ability to climb stairs.
- Must be able to retrieve work materials and be able to stoop, and lift and carry materials and supplies up to 35 lbs.
- Computer typing is a key part of the position.
- Work is primarily performed in an office environment with minimal exposure to health and safety considerations however, contact with frail residents and the general public is a key part of the position. Infection control practices must be followed as prescribed.
