To primarily perform high level executive/administrative assistance as the person responsible for admissions coordination between departments, resident billing, statistical reports, and financial transactions in the Administrative Services Department in NMVH. To assist entering billing information into computer, maintain insurance information in resident records, resident personal banking records and other pertinent admissions documentation, log payments into the A/R system, enroll resident in various insurance programs, review, and update Medicare coverage annually with resident and POAs, assist residents and families/POAs with Medicaid and VA applications. How does it get done? Coordinate, develop and Provide Professional Customer Service and Clerical Duties Ensure dissemination of information to various departments Answer incoming phone calls in a professional, courteous manner that reflects the pride and dedication to our Veterans here at NMVH, their families, POAs, greater community and the general public. Greet assist and answer questions from customers, staff, POAs and general public seeking admissions information in a professional manner. Gather and organize information to provide to Admissions Committee to review and approve all admissions. Coordinate meetings with Admissions Committee to meet and discuss potential admissions, barriers to admissions and time frames. Photocopying as needed Gather, organize, and submit information for insurance renewals, Medicare insurances and Medicaid or VA re-certifications. Maintain clean and organized work area. Assist with organization and cleaning of ASD offices. Assist ASD team with incoming mail, mail distribution to residents and departments, send outgoing mail as directed. Be able to build positive relationship with team, general public, residents, POAs, department representatives, stakeholders, and community Who are the customers? This job will also support the widows of the service men and women to include parents that have lost children in combat (Gold Star Parents) Ideal Candidate Strong Interpersonal Skills: The ability to communicate effectively with prospective students, parents, and staff is crucial. This includes both verbal and written communication skills Customer Service Orientation: A background in customer service can be very beneficial, as the role often involves addressing inquiries and providing support to applicants Organizational Abilities: Managing application processes, maintaining records, and coordinating events require excellent organizational skills Problem-Solving Skills: The ability to handle unexpected issues and find innovative solutions while adhering to policies and procedures is important Team Collaboration: Working well in a team-oriented environment and collaborating with other departments is often necessary Adaptability: Being able to work in an unstructured environment and adapt to changing circumstances is valuable Managing Applications: Reviewing and processing applications, ensuring all required documents are submitted, and maintaining accurate records. Communication: Corresponding with prospective students, parents, and educational institutions via email, phone, and in-person meetings to provide information and answer questions. Data Management: Maintaining and updating applicant databases, tracking application statuses, and generating reports. Collaboration: Working closely with other departments, such as financial aid, academic advising, and marketing, to support the admissions process. Policy Adherence: Ensuring compliance with institutional policies and regulations related to admissions. Minimum Qualification High School diploma or Equivalency and two (2) years of experience in basic accounting, and/or business/office administration. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling two (2) years may substitute for the required experience. Employment Requirements Employment is subject to criminal background check pursuant to New Mexico Caregivers Criminal Screening Act, (Sections 29-17-2 through 29-17-5 NMSA 1978 and 7.1.9.1 through 7.1.9.11 NMAC) and is conditional pending results. Must possess and maintain a valid New Mexico driver's license. Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification as a condition of continued employment. Successful completion of the Health Insurance Portability and Accountability Act (HIPAA) training. Must sign and observe confidentiality agreement. Must be able to read, write, speak, and comprehend the English language. Occasional travel for training & meetings and driving a State of NM owned motor vehicle may be required; Working hours may include weekends, holidays, overtime, and callback hours. Working Conditions Work is performed in an office setting within a long-term facility with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Walking throughout the facility and frequent communication and interaction with residents, staff, and the public. Periods of walking, standing, bending pushing, pulling, lifting, and stretching for a variety of activities may be required. Must be able to function under pressure and stressful situations Health hazards such as exposure to contagious viruses and diseases. May also include routine exposure to public, fellow employees, and facility resident illness, stressful situation, and bodily fluids, as well as exposure to physical and/or verbal abuse. Occasional travel for training & meetings and driving a State of NM owned motor vehicle may be required; some lifting; extended hours to meet deadlines will be required.
