The City of Independence is seeking a responsible, hardworking, dedicated, friendly, energetic, and fun individual with a passion for serving the community to join our team as the Adult Program Coordinator to plan programs, activities, events, and services for adult and senior residents in the Independence community. Days, Hours & Additional Employment Details: The Adult Program Coordinator is a full-time position, working 40 hours a week, Monday - Friday initially from 9 AM to 5 PM. After the training period, the Adult Program Coordinator will have the ability to adjust his/her hours to a mutually agreed upon 8 hour shift during Community Services standard operating hours (Monday - Thursday 7 AM to 9 PM and Friday 7 AM to 5 PM). There will be weeks periodically throughout the year where working evenings, weekends and holidays are required that may result in an adjusted schedule and/or compensatory or overtime. Duties and Responsibilities:

  • Coordinate with outside contractors to offer various programs and activities for Independence residents, including but not limited to Better Balance, Chair Yoga, Cooking Demos, Dine In Meals Presentation, Mind Challenge, Music Bingo, and Yoga Nidra
  • Collaborate with the Kitchen Manager to create the Dine In Meals menu and serve the meals as well as assist in the kitchen as necessary
  • Host weekly bingo games in accordance with Ohio Gambling Laws and serve as the bingo caller as necessary
  • Based on themes or resident recommendations, create the YouTube video playlist for the monthly Sing-A-Song Sing-A-Longs
  • Create the weekly in-house movie schedule by reviewing and selecting a variety of new and classic movies that interest and entertain residents
  • Plan special programs, activities, and events around various themes, including New Year's, Valentine's Day, St. Patrick's Day, Mardi Gras, Older American's Month, etc.
  • Responsible for the coordination of all City Bus Trips, including selecting the destinations, scheduling transportation, completing bus trip forms and waiver checks, setting reminder call notifications in Outlook for the Community Services Front Desk and serving as the tour guide if a volunteer tour guide is unavailable
  • Attend the Senior Citizens of Independence monthly meetings held on the second Friday of each month
  • Facilitate program development, advertisement, and registration
  • Create room reservations and room layouts for adult and senior programs, activities, and events
  • Register residents and guests for various programs, activities, events, trips, and services and process payments in accordance with department procedures for enrolling participants
  • Photograph adult programs, activities, and events
  • Serve as the back-up to the Community Services Coordinator when it comes to programs, activities, events, and services for young and active adults
  • Interact and communicate in written and verbal formats with residents, guests, colleagues, and team members to answer questions, disseminate or explain information, etc. in such a way that continues to foster the safe, fun, and educational environment of the Civic Center
  • Answer telephone calls, e-mails, and in-person inquiries, providing general department and program-specific information and/or directing individuals to the appropriate person or department
  • Compile, copy, sort, and file records and documents in line with Community Services policies and procedures
  • Assist with various aspects of Community Services and City special events
  • Attend training seminars and meetings as required
  • Perform other duties as assigned
Requirements:
  • Ability to handle multiple responsibilities, program, activities, events, and services simultaneously, ensuring all internal and external deadlines are met
  • Ability to operate office standard office equipment including, photocopiers and scanners, voicemail systems and personal computers; operate laminator when needed
  • Be intrinsically motivated to work independently while still having a team-oriented mentality
  • Availability to work some evenings, weekends, and holidays
  • Represent the City of Independence in a professional manner

  • Education:
    • High School Diploma or GED Equivalent (Required)
    • Associates or Bachelor's Degree (Preferred)
    Experience:
    • Minimum of three (3) years of programming experience, preferably for adults and seniors
    • Minimum of one (1) year of experience planning/coordinating group trips/bus trips
    • Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
    • Database Software; SportsMan (Preferred)
    • Graphic Design; Canva (Preferred)
    Additional Requirements:
    • Valid Ohio Class D Driver's License
    • CPR & First Aid Certified (Preferred)
    • ServSafe Food Safety Manager or Person-In-Charge Food Safety Certified (Preferred)
    Physical Demands: The physical demands are representative of those that must be met by an employee to successfully perform the essential functions of this job. Must be able to work in the office.
