SUMMARY AND PURPOSE

The Project Administrator handles supporting the required seamless communication between the Parts and Service groups, other internal departments, and most importantly- our customers. The Project Administrator will ensure effective communication and documentation both externally and internally to maximize the customers' experience in the field, while meeting Schneider's quality standards and maintaining working knowledge of relevant technologies and best practices.

KEY RESPONSIBILITIES

  • Create Service Work Orders for all service work that is tied to a Project or Retrofit.
  • Prepare quotes for Service Work Orders using the business management system.
  • Support invoicing Service Work Orders.
  • Utilize business management system to prepare and send trip confirmation/service acceptance forms. Manage documentation to ensure executed copies are received in a timely manner.
  • Collaborate with cross organizational team members to ensure successful job completions with red prints returned to the project management team and all action items are tracked and completed.
  • Manage Service Purchase Orders receiving and ensuring that the Business Manager and Finance has them for invoicing.
  • Internally track and supply shipping details for parts orders that align with service trips.
  • Manage Trip Report Action list and follow-ups.
  • Prepare audit forms for Technician trips.
  • Run and supply Recommended Spare Parts lists based off machine schedules.
  • Pull daily time entries for new Projects being installed- and supply to Project Management Team.
  • Coordinating Travel for Engineering and Operations for Service Jobs
  • Other tasks as assigned by Manager.

PROFESSIONAL QUALIFICATIONS

  • Education:
  • Associates in business administration degree preferred, or equivalent with 3-5 years relevant experience in office administration.
  • Experience:
  • Knowledge of MS Dynamics Field Service Module or similar platform a plus.
  • Familiarity with standard IT Tools (Windows, MS Office, SAP/Concur).
  • Proven ability to work in a fast-paced, cross functional team environment.
  • Skills:
  • Excellent communication skills, including conflict management and managing through influence.
  • Strong attention to detail while multi-tasking to achieve quality and timely completions of tasks.
  • A results-oriented attitude coupled with a strong sense of accountability.
