The Alumni Program Clerk, PHCA will provide program support and lead the alumni engagement efforts for the Public Health Academy. The Clerk will be performing a variety of routine clerical duties.Hourly Pay Rate: $22 per hour - $26.20 per hourEssential Duties and Responsibilities:
- Answer phones and take messages, manage alumni email accounts, file necessary documents, and update and edit records in the department database.
- Provide administrative assistance for various projects related to alumni engagement efforts and institutional partnerships.
- Plan and coordinate alumni events.
- Provide programming and Alumni
- Create a monthly alumni
- Coordinate workshops for program alumni, college readiness, career exploration, financial literacy, etc.
- Make photocopies, collate, and distribute, open and distribute mail, and send and distribute
- Maintain confidential files and records, check data, and prepare standard
- Provide excellent customer service both in person and by Ascertain the nature of the call or visit and notify the appropriate staff member.
- Assist PHCA and Pipeline with setting up and maintaining student alumni
- Create program materials to enhance program
- Work collaboratively with program
- Ensure students are completing the annual alumni survey
- Support classroom/workshop instruction as a facilitator, teacher, teaching assistant, and/or tutor
- Create marketing and social media content to feature PHCA students and alumni
- Provide resources for Pipeline Programs alumni to participate in programming.
- Develop systems for tracking alumni progress for SSAII, C-STEMM, LAPS, and other Pipeline Programs into college and beyond.
- Travel to different schools and sites in SPA 6 and SPA 8, work Saturdays, and occasional evenings

EDUCATION:
- Associate's degree from an accredited college or university. Bachelor's Degree preferred.
EXPERIENCE:
- 1-2 years minimum experience in secretarial, clerical, administrative, or higher education
SKILLS:•Knowledge of Microsoft Office and data collection software.•Ability to work a flexible schedule including weekends and evening hours•Valid CA Driver's License and the ability to drive to off-campus event/meeting venues as needed•Strong written and verbal skills and the ability to draft and edit correspondence•Ability to independently prioritize workload effectively to meet deadlines•Proficient in Word, Excel, PowerPoint and Outlook•Positive communication and interpersonal skills•Knowledge of general office procedures.•Strong organizational skills with attention to detail•Must be able to handle confidential and sensitive materials professionally.•Strong personal initiative to identify problems and follow through (especially customer care-related issues)TRAVEL:
