The Dispatcher role is a key role at Adept Delivery Solutions LLC. The Dispatcher is responsible for directing all of the activities relating to the delivery of Amazon's products and packages. He/She is responsible for logistics, warehousing, fleet, field operations, and facilities. He/She is expected to deliver high levels of customer satisfaction while maintaining low costs. He/she achieves these goals by providing excellent customer service; and by managing labor and resources efficiently. He/she improves operational management systems, processes and best practices. He/she helps the organization's processes remain legally compliant and according to Amazon's policies. The dispatcher reports directly to the Owner/Manager. Bilingual Preferred: Proficiency in both English and Spanish (or other languages) is highly valued to enhance communication with diverse teams and customers. AVAILABILITY REQUIREMENT: Must be available for at least one day during the weekend. PRINCIPAL RESPONSIBILITIES LOGISTICS The Dispatcher is responsible for negotiating delivery details with Amazon and our Driver Associates (DAs). He/she will also make sure that all the materials and labor required to perform the job are available including our fleet. Key activities include but are not limited to the following:
- Review the number of routes and delivery expectations to determine what resources are necessary
- Communicating with Driver Associates (DAs) to set scheduled dates for delivery
- Negotiating delivery routes with Amazon based upon availability of materials and labor
- Scheduling labor to perform delivery
- Coordinating with fleet manager for the maintenance and servicing of vehicles
WAREHOUSING The Dispatcher is responsible for overseeing
Adept Delivery Solutions LLC's warehousing operations. He/she directs all activities related to managing equipment, fleet and materials necessary for DA delivery success. He/she participates in hiring and firing DA personnel. Key activities include but are not limited to the following:
- Supervising the receipt of products and materials
- Coordinating labor for deliveries
- Verifying that delivery documentation is accurate
- Reporting discrepancies in routes and deliveries
- Ensuring equipment is accounted for and stored appropriately
- Supervising the storage of delivery bags
- Ensuring that products and materials are stored in the correct locations
- Ensuring that products and materials are organized in a neat and orderly manner
- Advising owner of damaged products and materials by ordering replacement parts
- Reporting inadequate inventory levels to purchasing
- Ensuring that all necessary equipment, including vehicles, are in place
- Giving orders to retrieve route racks appropriately
- Verifying that Driver Associates (DAs) are loading vehicles appropriately and on time
- Auditing employee personnel information and delivery reporting to ensure accuracy
- Working with drivers to deliver based on the safety, quality and team goals set by the client.
FIELD OPERATIONS The Dispatcher directs all field operations. He/she is responsible for all field personnel and for all field labor. Key activities include but are not limited to the following:
- Participating in hiring/firing field personnel
- Recruiting field personnel
- Ensuring Driver Associates (DAs) are delivering and performing according to all processes and procedures
- Ensuring company metrics are improved and course correcting when necessary
- Organizing training and professional development programs
- Training Driver Associates (DAs) and other personnel
- Organizing training classes for new Driver Associates (DAs)
- Maintaining all equipment
- Maintaining uniforms
- Maintaining safety programs
- Reporting time and attendance
- Tracking and changing delivery schedules
- Working with the fleet manager to maintain vehicles, phones, etc.
- Auditing DA's work for quality and completeness
- Resolving and responding to Driver Associates (DAs)/Amazon's inquiries and complaints
- Verifying that DA equipment is ready and complete on a daily basis
- Verifying that the schedules support the daily routes
- Implementing new processes and procedures that increase quality and lowers costs
FACILITIES The Dispatcher is in charge of maintaining
Adept Delivery Solutions LLC's desk/area. He/she is responsible for
Adept Delivery Solutions LLC's administrative offices. He/she is also responsible
AUTHORITY The Dispatcher is expected to help maintain a safe and orderly environment as the direct line between the owner and Driver Associates. This includes but is not limited to:
- Identifying, diagnosing and resolving maintenance issues timely
- Encouraging safe driving and a safety-first culture
- Monitoring and enforcing all pre and post vehicle inspections and safe driving habits
- Ensure open communication between the company and Amazon in terms of fleet and fueling
- Occasionally audit driver behavior on the road and report back finding
- Inventory gas cards, at minimal, on a weekly basis to ensure all are accounted for
- Audit Inspections of company vehicles for damages and ascertain the person responsible
