The UW Autism Center (UWAC) is devoted to supporting autistic individuals and their families through exceptional clinical services, innovative scientific research and high-quality training. UWAC is part of the Institute on Human Development and Disability at the University of Washington and incorporates faculty and staff from the UW School of Medicine, College of Arts & Sciences, and College of Education.
The UWAC APEX summer camp program provides evidence-based services to build social, emotional, and behavioral skills for autistic children and their families. The UWAC supports the APEX Summer Camp with a team of consulting professionals including psychologists, speech and language pathologists, occupational therapists, board certified behavior analysts, and behavior technicians. The UWAC is seeking a full-time (100% FTE) APEX Program Support Lead located at the UW Seattle campus. This position will report directly to the APEX Summer Camp Director and the UWAC Director of Operations.
The APEX Program Support Lead is an integral team member for the success of the APEX program. In this position, the APEX program support lead will provide administrative support and regularly interact with the public to recruit and implement the APEX summer program. An ideal candidate will have genuine interest in working with neurodiverse youth and families and desire to grow their skills and experience with clinical treatment for the youth that APEX serves. They will create a warm, welcoming environment and will provide reliable information to campers, families and staff members.
The position will align with the UWAC-wide policies and procedures and workload standards. The position has additional complexities involving the ability to handle complex and sensitive situations regarding clinic patients and their families.
The APEX Program Support Lead is important to the UWAC and to the University of Washington because of the UWAC mission to provide gold-standard assessments and interventions for autistic children and to disseminate information to the community through research, trainings and consultation.
DUTIES AND RESPONSIBILITIES
Program Support
* Provide direct support to APEX campers, families, and staff at APEX Summer Camp and throughout the year
* Work closely with APEX director to create and implement counselor training that takes place for two weeks prior to APEX summer camp
* Ensure all materials and equipment is purchased and on site prior to APEX Summer Camp
* With the APEX camp director, interview counselor applicants for APEX Summer Program
* Maintain appropriate client records for clinical and billing purposes
* Manage TouchNet payment process and coordinate with the billing department
* Maintain official APEX program email correspondence and ensure email correspondence from parents, staff, and community members is handled with professionalism
* Manage APEX phone/voicemail and either respond directly or triage all inquiries appropriately
* Create, maintain, and manage organizational systems for tracking data and family support
* Manage documents such as camp applications, financial aid documents, and counselor applications via RedCap and One Drive
Service to Autistic Children and their Families
* Engage with families via phone or email to recruit new families, and provide logistical support to current families, and provide referrals or recommendations to new and returning families
* Complete initial camper screenings and support APEX camp director in conducting in-person and remote interviews with prospective campers and families as needed
Supervise Seasonal Camp Counselors
* Interview, hire, and onboard seasonal camp counselors
* Participate in new employee training
* Supervise seasonal camp counselors and provide feedback on job performance
* Participate in annual performance review
Maintain and follow APEX and UWAC policies and procedures for successful daily operations and assist with monitoring of quality control of administrative procedures, maintain camp supplies.
* Create and maintain electronic files for clients and maintain organization of filing system
* Attend staff meetings and participate on internal committees, as required
* Data entry in multiple database environments
* Alert supervisor(s) to problems and make suggestions for improvement
* Review website information and marketing and community outreach events as needed
* Maintain inventory of supplies and promotional materials, including brochures and flyers available to clinicians and general public
* Perform related duties, as needed
MINIMUM REQUIREMENTS
High school graduation or equivalent AND two years of experience managing/coordinating a program OR equivalent education/experience.

* Advanced PC skills using a range of software programs including Microsoft Office Suite (Word, Excel, Access, and PowerPoint), Internet Search and Adobe Acrobat
* Familiarity with Electronic Health Record systems
* Ability to exercise independent judgment, negotiate multilayered regulatory systems, manage competing priorities
* Comfortable talking with the general public
* Excellent oral and written communication skills
