Required Qualifications (as evidenced by an attached resume):Bachelor's degree (foreign equivalent or higher) and one (1) year of full-time administrative experience, or an Associate's degree (foreign equivalent or higher) and two (2) years of full-time administrative experience. Experience with high-volume data entry. Proficiency in Microsoft Office Suite and/or Google Workspace. Preferred Qualifications:Experience working in Human Resources, specifically in recruitment or employee onboarding. Familiarity with USCIS Form I-9 processing and compliance. Experience with HR Information Systems (HRIS) or applicant tracking systems (ATS). Brief Description of Duties:The Appointments & Recruiter Assistant provides essential administrative support to the State Appointments team. This role involves supporting various appointments functions, assisting with recruitment, appointment processing, USCIS compliance, and managing confidential and sensitive personnel information while maintaining discretion and confidentiality. Strong attention to detail, organizational skills, and the ability to handle high-volume data efficiently are crucial for success in this role.Classified Recruiter Support: Support the Senior Recruiter in managing state-classified positions for the West Campus and Health Sciences Center. Screen applications, verify qualifications, and compare candidates' skills and experience to job requirements. Conduct phone screenings and initiate pre-employment background and driver's license checks. Assist with recruitment events and candidate communication, ensuring smooth onboarding and compliance with hiring policies.USCIS Compliance: Ensure compliance with USCIS regulations and timely processing of all USCIS Form I-9s for State employees. Assist with the completion and review of USCIS Form I-9s for faculty, graduate assistants, teaching assistants, and other employees, ensuring accuracy and validity. Monitor daily USCIS compliance reports, issue appropriate communications to employees, supervisors, and HR Business Partners, and take timely action on non-compliant assignments.Appointments Processing: Responsible for the timely and accurate processing of Classified and Professional appointments, including hires/rehires, separations, FTE changes, leaves of absence, salary adjustments, and other employment actions within the ERP system(s). Assist with Faculty and Graduate Appointments, as needed. Ensure compliance with employment laws, Civil Service law, SUNY policies, and collective bargaining agreements. Prepare accurate confirmation letters for employees regarding appointments and employment changes. Assist end users with the electronic onboarding process, troubleshooting issues related to account setup, form completion, and system access.Training: Provide support in facilitating Form I-9 training sessions as needed, including in-person and online formats. Assist with creating and updating training materials ensuring that materials are current with policy changes and regulatory updates.Other duties or projects as assigned as appropriate to rank and departmental mission.Special Notes:This is a Management Confidential position.
