This position reports to the Senior Associate Athletic Director/Chief Financial Officer (CFO). The Assistant Athletic Director for Business Operations will oversee some of the day-to-day operations of the Husky Athletics business office including accounting, accounts payables and receivables, financial statements, audits, NCAA and EADA reporting, contracts, and analytics. In collaboration with the CFO and Director of Accounting Operations, this position will be a leader for the overall financial operations of ICA. They will be responsible for creating and managing monthly budget reports for UW Athletics and work on financial transactions and monthly reconciliations. Individual must possess excellent logic and troubleshooting skills and demonstrate excellent communication and customer service. Work must be done independently in a highly organized manner with a strong attention to details. The individual must be able to manage multiple projects simultaneously and meet deadlines established by the department.
DUTIES AND RESPONSIBILITIES
Accounting, Reporting, and Budgeting - (25%)
The Assistant Athletic Director will assist the Senior Associate Athletic Director/CFO with the annual budgeting process for ICA. This position will have significant input in the resource allocation of ICA's budget, which exceeds $145M.
Develop future year budgeting plans in conjunction with unit leaders and the Senior Associate Athletic Director/CFO. Forecast future year revenues and expenses to assist with financial modeling. Prepare and submit ICA budget into University budgeting system (currently Adaptive).
Provide financial strategy and guidance to business office staff for day-to-day decision making for accounting, monthly reconciliations, and creation of financial statements. Assist with the creation and submission of annual reports for the financial audit, the University of Washington, NCAA, Department of Education, and Big Ten Conference.
Business Operations - (25%)
Evaluate strategies and implement continual process improvements for Athletics business operations, which includes accounts payable, accounts receivable, and travel operations. Ensure timely and efficient support to Husky Athletics sports teams and administrative personnel.
Oversee the preparation of monthly budget reports for department budget managers. Work with budget managers and coaches to ensure each unit is working within their approved budget. Answer questions related to expense transactions.
Review and approve travel expenses, Procard expenses, employee reimbursements, and purchase orders. In conjunction with the Senior Athletic Contract Specialist/Buyer, assist unit leaders and coaches through the procurement process including monitoring payments, supplier invoice requests, Procard increases, and requisitions.
Oversee reconciliation for special events hosted by ICA including, but not limited to, Big 10 Championship Events, NCAA Championship events, facility rentals, summer camps, or other special events. Create pro formas and financial reconciliations for external events as needed. Provide management with reports or updates, as requested.
Analytics and Forecasting - (25%)
Oversee business analytics related strategy for ICA for both revenues and expenditures. This includes oversight of the implementation and continual improvements of data visualization and financial reporting through Tableau, or other resources, to better assist with decision making throughout the department. Work with ICA's Business Analyst to create monthly reports reflecting current year budget to actuals.
Oversee Husky Sport Fund gift accounts including monies raised by the Tyee Club, monitoring available balances and ensuring funds are being utilized as appropriate.
Assist the Senior Associate Athletic Director/CFO with long-range financial planning for ICA as well as current year financial projections. In the absence of the CFO, this position has the authority to make financial decisions, as required.
Contract Management - (10%)
Assist with the management of ICA's operational and vendor contracts. In conjunction with the Athletics Contract Specialist/Buyer, work with internal and external constituents to ensure contracts are executed and managed in accordance with University of Washington, and state regulations. Consult with Procurement Services Contracting and Sourcing team, the Office of the Attorney General, Risk Services, the Tax Office, and other resources, as appropriate. Provide recommendations on contract related items to the Senior Associate Athletics Director/CFO. Assist in the payment and processing of game contracts.
Budget Review and Business Operation Meetings - (10%)
Facilitate financial operations meetings with each sports team and administrative unit leaders. These meetings will consist of business-related updates on purchasing, travel, contracts, procurement, and other related items, and will include a thorough budget review and update for each unit. The Assistant Athletic Director will serve as a resource to coaches, department heads, and senior staff, advising and educating them on budget and financial issues, and will engage with internal and external constituents to maintain fiscal responsibility throughout ICA.
Other Duties as Assigned - (5%)
Serve as a liaison with the University Finance, Planning, and Budgeting (FPB) office. This includes annual budgeting exercises, Adaptive entries, budget transfers, etc.
Compliance with the rules and regulations of the University, the NCAA, the Conference, the State of Washington, and any other governing body is of paramount importance to the University. The overall responsibility of this position is for the successful operation of the program in full compliance with all such rules and regulations. As a condition of employment, the Employee shall be required to participate in rules education programs offered by the Department of Intercollegiate Athletics.
MINIMUM REQUIREMENTS
Bachelor's degree in business, finance, accounting, sport management or a related area. 4-5 years of related experience in NCAA Division I athletics business office, or an equivalent combination of education and related experience.
Management/supervisory experience. Strong interpersonal skills and the ability to work collaboratively. Professionalism, composure, and an ability to communicate clearly, diplomatically, and effectively.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
DESIRED QUALIFICATIONS
Master's degree in business, finance, accounting, sport management or a related area. Familiarity with Workday Finance or a related enterprise system.
