Job Description :

The Assistant Controller is responsible for supporting College-wide projects involving business processes, and for coordinating the financial information to support decision-making in a complex financial environment. This includes preparing financial statements in accordance with generally accepted accounting principles (GAAP) for not-for-profit organizations, internal reporting and analysis, and mandated federal, state and other financial reports. Practical application of accounting theory for tasks such as transaction/fund accounting, account analysis, and accounting projects is required.In addition, responsibilities include a core role in the management of the financial computer systems, banking system interface, and other departmental computer systems.

Duties and Responsibilities:

* Performs a key role as a user of the financial systems used to extract data from the general accounting information database.

* Responsible for the cashiering duties and coordination of the banking.

* Responsible for setting up student fee tables and processing fee assessments and other charges to student accounts.

* Responsible for processing student refunds on a weekly basis.

* Monitor aged receivables.

* Interact with students and parents when necessary to resolve student account questions.

* Reconcile daily balance sheet to cashier sessions and perform daily finance feed.

* Coordinate accounting and reporting for federal and state grants as well as the annual Single Audit.

* Work with external auditors and assist Controller with completing the fiscal year-end audit in a timely manner.

* Assist Controller with preparation of financial statements and supporting documentation.

* Perform monthly and year-end closing accounting tasks, and maintain and reconcile various balance sheet, revenue, and expense accounts.

* Assist Controller with management of college bank accounts including daily cash balance monitoring, line of credit requirements and Federal funds drawdown responsibilities. Develop and maintain long-term cash projections to anticipate cash needs or sources of additional capital.

* Monitor and maintain pledge receivable records while working closely with Advancement staff. Record pledge receivables in financial reporting system, monitoring pledge write-offs, accuracy of pledge amounts, collectability of pledges and proper discounting methods.

* Monitor and prepare the College investment schedule. Create investment reports for Advancement and donors.

* Assist Controller with preparation and filing of all College related tax forms and schedules including the 990, 990T, 1098T, and 1099's.

* Serve as a resource and mentor to the Business office team and provide cross coverage to other staff members as necessary.

* Represent the Business office on cross-divisional workgroups, committees, and teams.

* Performs other duties as assigned.

Skills and Knowledge:

* Strong leadership skills, including the ability to collaborate with cabinet, peers, and other College constituents. Good oral and written communication skills and professional attitude.

* Excellent customer service skills; demonstrated experience working in a team-oriented environment.

* Self-motivated with the ability to work independently and analyze and interpret data for accuracy and decision-making.

* Ability to manage multiple tasks, prioritize among assignments, meet deadlines and follow-up.

* Resourceful, flexible and good at problem-solving.

* Demonstrated proficiency in Microsoft Office and Ellucian Banner or similar nonprofit accounting software.

* High degree of professional confidentiality expected.

* Knowledge of FERPA.

Experience:

* Demonstrated finance and accounting experience working with nonprofit organizations; higher education experience preferred.

* Five or more years of progressively responsible experience in complex organizations; supervisory experience preferred.

* Extensive managerial and administrative experience in financial management, analysis and forecasting and experience with complex financial reporting systems.

Education:

* Bachelor's degree in accounting, finance, or business administration required.

* MBA or CPA a plus.
