Job DescriptionThe Assistant Director of Facilities and Event Management is responsible for facility management of soccer and lacrosse facilities and game management for soccer and lacrosse regular season and postseason contests. This position will be the secondary manager of parking and traffic for athletics events and daily operations. About the Work UnitVanderbilt University's Athletics Department prepares student-athletes to become leaders and champions in life by placing the highest values on integrity, character, sportsmanship and victory. Vanderbilt is a charter member of the Southeastern Conference and is the conference's only private school. The university currently fields 17 varsity teams (6 men's teams and 11 women's teams), 15 of which compete in the Southeastern Conference. Duties and Responsibilities
Responsible for game and facility management aspects of assigned sports (primarily soccer, lacrosse) Work in conjunction with university maintenance and grounds crew to ensure the fields and facilities are prepared to host scheduled events Create a plan for the operation of assigned events and work with internal and external departments to ensure execution of assignments related to event Including, but not limited to sports medicine, marketing, video/radio and television, director of operations for assigned sports, game officials (per SEC and NCAA regulations), plant/grounds, concessions, Learfield, VUPD, traffic and parking, etc. Assist with game operations for other Vanderbilt sports as directed by the Associate Athletic Director of Facilities & Event Management Responsible for assigned area of home football operations Assist with postseason events as requested Manage parking for athletics events and daily operations, serving as the secondary manager for planning and executing parking and traffic operations. Continually make recommendations for opportunities to improve the functionality and success of the athletics parking and traffic processes. Participate in development and revision of a parking and traffic operations planning As necessary, solicit, hire, and train parking attendants As applicable, manage the payroll for the parking program and ensure compliance with all HR policies Manage the expenses and revenues under the parking program Develop best practices for operating logistics Serve as the facility lead for Soccer and Lacrosse Complex to oversee its operation and maintenance, as well as make recommendations on projects to continuously improve the facility. Share in the management of the outdoor track facility, which houses the soccer and lacrosse practice field. Assigned facility/event management tasks Operate with consideration of the facility's budget Maintain cleaning standards and perform routine building surveys Manage facilities equipment needs Coordinate repairs and maintenance of buildings, fields and grounds Plan and recommend facility improvements Assist with scheduling of practice times and other facility usage Lead assigned sport operations meetings 2-3 times per year to determine needs for all stakeholders as it pertains to soccer and lacrosse games Coordinate TV set-up for assigned sports Meet with television director/producer in advance to determine needs to televise event Create a logistical plan to execute the needs of the television representatives Evaluate staffing needs to assist in production and recruit appropriate staffing to fill needs Manage credentialing needs for television personnel Serve as the liaison between television production and university plant to determine and fulfill needs to execute televised event (ex: electrical needs, establishing television compound, etc.) Work with television production and director of sport operations to create timeline Athletics liaison for event support staff, including concessions, guest services, VUPD, LifeFlight, bookstore, marketing, Learfield, NCC, ticketing, custodial, etc. for assigned sports Assist Associate Athletic Director of Facilities & Event Management as liaison for maintenance and housekeeping Maintain daily cleaning standards and survey buildings for cleaning standards and maintenance items Process and manage work orders to address facility needs Develop and maintain effective working relationships with coaches and support staff, university maintenance and grounds, housekeeping, campus groups, vendors and contractors, and other Vanderbilt Athletics departments Fill in for Associate Athletic Director of Facilities & Event Management as needed Responsible for assisting with NCAA, NIT, SEC, etc. events hosted by Vanderbilt University as assigned Ensure compliance with NCAA and conference rules and regulations Perform other duties requested by the Associate Athletic Director, Facilities & Event Management Qualifications
- A Bachelor's degree from an accredited institution of higher education is necessary.
- Prior experience in Facility Management and Athletics Event Management is preferred.
- Analytical, evaluative, and critical thinking skills are preferred.
- Skill in organizing resources and establishing priorities is preferred.
- Computer skills, to include word processing and database management are preferred.
- Ability to assess and develop procurement specifications and coordinate purchasing activities in area of specialty is preferred.
- Ability to manage and coordinate multiple projects simultaneously is preferred.
- Knowledge of budgeting and fiscal management principles and procedures is preferred.
