Job Description:The Assistant Director of Advancement Events is a full-time exempt level position dedicated to management of events within the Office of Advancement. The Assistant Director will report to the Assistant Vice President for Advancement and will work collaboratively with other advancement professionals, including the Leadership Team of Advancement and the Office of the President to manage all planning, organizing, and execution of advancement events that support the fundraising initiatives of the college and ensure that events are on time, on budget, and meet the goals of the organization. This position will strategize and plan dynamic events to drive engagement and strengthen Goucher College's unique culture, scout locations, solicit bids, liaise with on campus event planning teams, manage communications, negotiate and track vendor contracts, handle inquiries, prepare briefings, and resolve situations on the day of the event to ensure that all runs smoothly. Events include, but are not limited to, donor dinners and recognition, alumni celebrations, athletics, named lectures, building dedications, and select presidential events.This position may be required to work some weekends and evenings as needed.Essential Job Functions: 40% A. Events Management• Manage and perform all tasks associated with Advancement related events from concept through implementation and post-event communications and analysis. • Assist with creating guest lists, electronic & print invitations, securing event space, and liaising with catering vendors and on-campus resources and partners across campus. • Manage event attendees and RSVP responses and event attendee follow-up communications.25% B. Use of Technology• Utilize cloud-based applications and in-house software products to plan and manage events and timely Advancement Communications to promote engagement as future event attendees. The use of EMS, SLATE, GiveCAMPUS, and other third-party solutions will be used to send communications, i.e., Save the Date , Thank Yous , birthday cards, annual advancement reports, etc. 20% C. Data & Information• Identify, collect, and retain vital event attendee/constituent and event information secured through the process of facilitating an event. • Manage opt-outs per established protocols for communications.• Prepare and compile Advancement reports as needed for internal and external review and analysis.5% D. LIAISON• Serve as the liaison for the Office of Advancement in on-campus events that help foster the work of the Advancement Division; this may require work on the weekends and evenings. Develops and maintains a local and national network of contacts with other Advancement professionals to maintain a superior understanding of industry standards and trends.5% E. General Office Duties• Assist the Office of Advancement with administrative tasks and duties as needed.Non-Essential Functions: 5% A. General office responsibilities, greeting guests. Coordinating meetings as needed. Serve on committees/workgroups as assigned. Maintaining open communication with peers and departmental colleagues. Participating in campus events hosted/administered by the Office of Advancement. Other duties as assigned or as the need is identified. Yes ☐ No ☒Education:Required: Bachelor's degreeProfessional Experience:Required: 2 years of experience in strategic event and program planning and management.Preferred: 5 years of experience in strategic event and program planning and management in a higher education or non-profit setting.Computer Skills: The successful candidate should have knowledge of and specific experience in relational databases; the candidate should be proficient in MS Excel, Word, Access, PowerPoint, and other essential programs. Demonstrated experience managing and adhering to budget.Other Skills, Abilities, Qualifications: Expertise in business English for both oral and written communications. Skilled in maintaining confidentiality. Demonstrated ability to use internet search engines (i.e. Google) to find websites that contain contact information. Demonstrated ability of good judgment and prudent decisions. Ability to express ideas clearly, concisely, and convincingly, strong time management; strong attention to detail is an important asset; strong interpersonal skills, effective communication skills, and flexibility; willingness to learn new technology and be a valued member of a team.
