Job DescriptionSUMMARYOFDUTIESAND RESPONSIBILITIES:The Assistant Director of Facilities Planning under the direction of the Senior Director, serves as a consultant and resource to departmental leadership in the development, execution and management of a wide variety of essential departmental services and related administrative functions. Participates in the development of new programs, systems and/or procedures and monitors their functioning and effectiveness. Contributes to continuous operational improvements and compliance activities.
Manage qualified vendor's preventive maintenance contracts (Central Office' HVAC, BM Systems and Emergency Generators).Accumulate Fiscal Year Budget annually, primary approver for requisitions and paymentsComplete all paperwork and closing duties before leaving; review states of assignments and any follow-up action with manager.Charge with the responsibility of managing a team of 4 staff members.Assist in running department projects at the direction of department headMaintaining and scanning Central Office blue print files.Directly supervise personnel in carrying out work schedules as well as spot checking to verify quality and employee(s) performance.Preparing payroll package for vendors, obtaining manager signatures when needed.Assist with creating/distributing work orders and I-Service request and assign work by priorities.Respond promptly to any request made for problems, assistance, or emergency work orders via phone or email.Provide feedback on staff performance to manager(s): report disciplinary problems to manager(s) and participate in the counseling of employees.Developed PowerPoint and other graphic presentations for all internal and external presentations.Maintain or collaborate to create policy or procedural manuals for your workplace and help to ensure that they are followed.Coordinated travel, prepared trip itineraries, booked reservations and scheduled meetings.Read, researched, and routed correspondence; drafted letters, documents, and reports; collected and analyzed information; initiated telecommunications.Screened email traffic, phone calls, maintained filling system, and updated contacts.Produced information via formatting, inputting, editing, retrieving, copying and transmitting text, data, and graphics.Standardized electronic filing system so management and staff could easily locate information in any filing center.Independently managed trades and management heavy calendar with full editing rights and all scheduling management.Assists in formulating and determining major questions, problems, planning and policy issues affecting the planning, development and implementation of programmatic designs for hospitals, other new facilities and other health care institutions and programs.Performs other related duties, as directed.Minimum QualificationsMaster's degree from an accredited college or university in Social Science, Hospital Administration, Public Administration, Business Administration, Health Care Administration, Administrative Medicine in Public Health or a related discipline; and, Two (2) years of planning, design and program development experience pertaining to the operation of a major segment or all of a hospital or health care setting including substantial exposure in meeting community health needs, health care planning, design and program implementation functions; one (1) year of which must have been in a responsible level administrative, supervisory or managerial experience in coordinating health care planning, design, development or public policy programs; or, Bachelor's degree from an accredited college or university in Business Administration, Public Administration, Hospital Administration, Social Sciences, Management, Health Care Administration or a related discipline; and, Three (3) years of experience as described in 2 above; two (2) years of which must have been in a responsible level of administrative, supervisory or managerial experience in coordinating health care planning, design, development and public policy programs.If you wish to apply for this position, please apply online by clicking the Apply for Job button.If applying online, please include your cover letter in the same file attachment with your uploaded resume.NYC Health and Hospitals offers a competitive benefits package that includes:
