Provide superb customer service and administrative support that enables department to achieve its goals and advance of the mission of Marion Technical College (the College ). ESSENTIAL JOB DUTIES, FUNCTIONS AND RESPONSIBILITIESGeneral Administration
Manage daily operations of the Testing and Tutoring Center. Maintain a posted schedule, ensure adequate staffing, and manage appointment scheduling and tracking software (Accudemia). Establish and ensure compliance with department operation procedures, and keep manuals and other documents up to date. Serve as the central point of contact for testing and tutoring related services for students, faculty, and staff. Manage inventory of testing and tutoring supplies including online test units, paper test booklets, scantrons, textbooks, instructional supplies, etc., and submit purchase requisitions as needed.Coordinate efforts with the Office of Human Resources to recruit, train, supervise, and evaluate adjunct/professional tutors, student tutors, and part-time testing assistants/proctors; develop requirements and position descriptions; interview applicants for positions; recommend for hiring or dismissal; and conduct and evaluate written performance appraisals completed on a timely, annual basis. Verify and approve time cards for tutors and proctors/testing assistants on a biweekly basis. Develop and maintain departmental goals, objectives, and assessments for the College's tutoring program and testing services. Monitor, collect, analyze, and communicate relevant statistics related to testing and tutoring services usage and effectiveness. Assist in the development and evaluation of reports for the department in relation to established goals. Recommend new approaches, policies, and procedures to effect continual improvements in efficiency and effectiveness of the department and the College. Establish and maintain an organized, comprehensive record-keeping system to process all departmental reports required for external and internal purposes, including files, correspondence, reporting, and research requirements. Organize and maintain departmental data on network shared drives.Testing Services AdministrationServe as the Institutional Administrator for standardized tests.Obtain and maintain all required certifications to administer and/or proctor various tests with partner vendors, including but not limited to Accuplacer, ACT, ATI, and Pearson Vue. Maintain standardized test administration site(s) and serve as liaison to testing vendors. Arrange training and certification exams for new proctors. Maintain test prep materials for standardized tests and arrange test prep sessions as needed. Coordinate with the Correctional Education Coordinators for administering, scoring, and reporting of paper versions of standardized tests. Provide placement testing support to the College Credit Plus department and assist with off-site testing. Stay current on changes to standardized tests and communicate with faculty and staff at the college. Coordinate the Residual ACT Test which includes scheduling test dates, registering students, proctoring, scoring tests, and reporting results to ACT, College employees, and students. Enter scores into student record system. Maintain a secure, test-friendly environment, both on and off campus, and ensure that all staff administering exams follow security protocols. Secure all tests and oversee administration as prescribed by faculty/staff/vendors. Receive and catalog all test materials (e.g. exams/quizzes, instructions, passwords, attachments, etc.). Investigate test security matters and report issues of cheating/academic misconduct to the Executive Director and faculty (if applicable).Coordinate with the Director of Student Disability Services and faculty to provide approved testing accommodations for students with disabilities in accordance with the ADA. Maintain records of student testing accommodations, manage appointment requests for accommodated tests, and coordinate with faculty to ensure exam materials are prepared in a timely fashion in the required format.Serve as the liaison to staff at The Ohio State University - Marion (OSUM) and other institutions for non-MTC students taking exams in the Testing Center.Serve as a backup proctor for placement tests, makeup exams, and accommodated exams Administer exams, record scores in student record system (if applicable), and/or return exams to faculty in a timely fashion. Troubleshoot technology errors and related issues including computer hardware, software updates, security cameras, and assistive technology. Consult with IT or Disability Services as needed to resolve issues in a timely manner to minimize disruptions to testing services. Formulate, interpret, and implement policies and practices related to testing center operations in line with NCTA and CAS Standards. Communicate challenges and opportunities with faculty and staff, enhance policies and procedures as needed, and keep the College informed of changes. Participate on committees that impact testing services, such as vetting new vendors for placement testing, remote proctoring, or assistive technology. Tutoring Program AdministrationAdminister the College's tutoring program. Oversee a team of student/peer and adjunct/professional tutors and serve as a liaison to the Academic Success Center (a shared service with The Ohio State University - Marion) Act as the institutional coordinator for the Ohio e-Tutoring Collaborative, communicate with OhioLink staff, and attend annual trainings. Regularly recruit tutors for high-demand subject areas such as math, science, and computer applications, and maintain a process for students to request tutors and receive support in other subject areas. Communicate with faculty regarding course tutoring needs and student progress. Ensure tutors have access to course materials and necessary supplies. Participate in college-wide Guided Pathways initiatives related to academic support. Stay current on best practices related to peer tutoring, embedded tutoring, supplemental instruction, required tutoring, and other academic support programs. Provide expertise and recommendations for different models at the course level and assist faculty with implementation.Serve as an administrator for Accudemia, a scheduling and tutoring session tracking software. Maintain tutor schedules and settings related to appointments, session logs, and surveys/evaluations. Troubleshoot any issues with the system.Develop, implement, and facilitate tutor training program for professional and student tutors aligned with CRLA and CAS standards. Provide coaching and professional development opportunities to assist tutors enhance their knowledge of student learning and instruction strategies. Publicize tutoring program and academic support services throughout the College community in coordination with the College's marketing department. Develop and maintain print materials and web content pertaining to tutoring services and academic skill development.Coordinate the loaner laptop program. Manage device inventory and tracking, process requests, check-out/check-in devices, and follow up with students who have not returned their device. Collaborate with IT for inspections, software updates, and scrubbing devices. Coordinate with the Business Office to assess charges for damages or devices not returned.OtherRespond to inquiries from students, College employees and customers, while maintaining standards of confidentiality and privacy, in a timely manner; maintain confidentiality in accordance with the College, FERPA, student records, and any other protected documentation. Serve as a liaison between the department, faculty, students, and College administrative staff regarding policies and procedures for tutoring and testing services.Maintain user proficiency for software programs, systems, and databases used by the College including but not limited to Microsoft, PowerCampus, Watermark Student Success and Engagement, Canvas, and Accudemia.Develop professional opportunities within the scope of work responsibilities, department, and College objectives. Stay current on research and best practices in the areas of tutoring, testing, and academic support. Demonstrate self-motivation and willingness to research and continually update knowledge and skills, as well as provide input and accept additional and changing work responsibilities. Work cooperatively with employees and student employees to support programs and events and complete various projects across the College as needed including but not limited to New Student Orientation and Admission Visit Days. Participate in and contribute to student success and retention initiatives. Attend on- or off-campus College meetings and serve on departmental and College committees as assigned.QUALIFICATIONS Bachelor's degree in a related field from a regionally accredited college or university required. Master's degree in education, curriculum and instruction, student affairs, higher education, or related field highly desired. Three years of experience in tutoring, teaching, and/or testing services required. Previous experience in higher education highly desired. Exhibit excellent English, communication, and composition writing skills. Proficiency in Microsoft Office programs (Word, Excel, PowerPoint, and Outlook) with excellent computer and related technology skills required. Demonstrated ability to work independently, maintain confidential and sensitive information, and complete projects with minimal direction and oversight with a high attention to detail. Must have ability to work collaboratively in a team environment. Supervisory and training experience preferred. Experience with data collection, assessment, and reporting highly desired. Ability to work with a wide range of individuals from diverse backgrounds. Any combination of work experience, training, and/or education equivalent may be accepted. Willingness to work an irregular schedule as assigned. Ability to successfully pass a background check, prior to and after employment.
