Assistant Director, RecordsJob no: 500504 Work type: Staff Full-Time Location: Nashville Categories: StaffTitle: Assistant Director, RecordsPOSITION SUMMARYAssists the Director of Admissions and Records in directing and supervising all functions of the Records Office within the Office of Admissions and Records. Serve as Registrar of the College in the absence of the Director of Admissions and Records.ESSENTIAL JOB FUNCTIONS/JOB DUTIES AND RESPONSIBILITIESAssists the Director in the management of records and registration services, including web, text, and email systems. Performs as the backup resource expert for Banner functional operations. Assist and provide leadership and professional development for 5 direct reports: VA Student Support Specialist, Graduation Specialists, 3 Transcript Processers. Assists with the maintenance, accuracy, and integration of the degree audit program (Degree Works) into advising and registration communications. Develop and maintain the Degree Works Scribe code for the Degree Works Audit system.Assists in the preparation of a wide range of management reports to the Tennessee Board of Regents, Tennessee Higher Education Commission, National Student Clearinghouse, Veterans Affairs, and the Nashville State community. Provides leadership in designing, developing, and implementing technologies to enhance and support records and registration services. Assists the Director with end of term processing (inclusive of Academic Action communications - suspension and probation). Training Nashville State faculty and staff on functional operations. Assists the Director in preparation of the Admissions and Records Office budget. Assists the Director in planning and implementing the Institutional Effectiveness Plan for the Office of Admissions and Records. Creates reports via Banner Population Selection. Responsible for correcting data in the system for census reporting to TBR each semester.Responsible for the processing of all Curriculum Committee approved changes/additions to courses and/or programs, as well as maintaining the curriculum stored in Banner (historical, current, and future). Manage the records team in-office processes including form submissions, transcript evaluations, graduation procedures, VA student certification. Serve as secondary School Certifying Official for students using VA Education Benefits and ensure compliance with all VA regulations.Lead the Records Office role in Nashville State's graduation ceremony and support the Graduation Specialists with the graduation lineup. Lead the Records Team in supporting the Welcome Center and Student Success advisors by ensuring their questions are promptly and accurately addressed. Recruit, train, and develop Records team members to maintain high standards in customer service and communication.REQUIRED QUALIFICATIONSAssociate's DegreeThree years of responsible work experience in higher education or records managementPREFERRED QUALIFICATIONSBachelor's DegreeMinimum of 1-year supervisory experienceExperience with Application Navigator BannerExperience working with Relational Database Management SystemsExperience in writing and maintaining SQL queries and reportsExperience in Scribe language for Degree Works auditsExperience in the use of a computerized records management systemExperience assisting students in effective use of VA Education BenefitsFunctional-technical experience with a degree audit software system, such as Degree WorksKNOWLEDGE, SKILLS AND ABILITIESCritical thinking skills. Team building. Ability to establish and maintain effective working relationships. Experience working within an educational institution's student information system. Knowledge of federal and institutional laws, rules, and regulations as they apply to FERPA. Keyboarding, word processing, microcomputer skills.
