Overview
The Assistant Facility Manager supports the facilities organization at a specific office location under the supervision of the Facility Manager. This role ensures the implementation of policies, procedures, and workplace services, emphasizing a positive response to occupant needs, environmental health, safety, and quality programs.
Job Description
- Manage day-to-day facility operations, including janitorial, life-safety, engineering, site services, and general maintenance.
- Review vendor contracts regularly and confirm invoice accuracy.
- Supervise maintenance programs for interior and exterior property conditions.
- Respond promptly to maintenance, repair, and cleaning requests from building occupants.
- Compile and ensure the accuracy of site-specific documentation and reports, including manuals, logs, and assessments.
- Support budget preparation and facility improvement initiatives, including capital budgets and cost reduction strategies.
- Analyze and prepare statistical reports to assess facility management objectives.
- Monitor vendor compliance with insurance and coordinate claims.
- Inspect facilities proactively to report issues to the Facility Manager.
- Perform general administrative tasks, such as reception/mailroom backup, data entry, and supply ordering.

Education Requirements
- Required: Associate s degree in facilities management, business, or a related field.
- Preferred: Bachelor s degree.
- Industry certifications such as CFM (Certified Facility Manager) or BOMA recommended.
Experience Requirements
- 3 5 years of experience in commercial or industrial real estate facility management.
- Maintenance, construction, and engineering experience preferred.
- Familiarity with CMMS and work order management systems.
Additional Eligibility Requirements
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to read and interpret construction specifications and blueprints.
- Strong understanding of management agreements and contract language.
- Technical training or certifications in engineering, business, or facilities management are a plus.
