We are looking for someone with HOA or Community Association experience who enjoys working with a team and providing great customer service in a fast paced environment! Role and Responsibilities: We are seeking high-energy Assitant Property Manager with an emphasis as an HOA Specialist. This person must be well organized, a self-starter, and a team player. The focus of this position is to manage the HOA and Community Associations Watts Group manages. This role also assists with the planning, directing, or coordinating of the selling, buying, leasing, marketing or governance activities of commercial or residential real estate properties. Includes assisting with actively managing the condominium owner associations and overseeing the rented or leased housing units, buildings, or land (including rights-of-way). Works within their department for accomplishing goals while providing excellent customer service. Assists with the preparation and administration of contracts for provision of property services such as cleaning, maintenance, and security services. Send informational communication to the association members as well as posting important notices in the building in a timely and professional fashion. Remain up to date on association happenings, attend board meetings (mostly in the evenings): create agenda, take/send minutes as needed. Maintain a daily communication log to keep all staff in the loop, and to share with the board of directors and Property Manager/Owner as needed. Facilitate the handling of complaints or grievances by responding in a timely and professional manner. Work with Property Manager/Owner for enforcement when needed. Conduct weekly site inspections for general conditions and violations of grounds, facilities, and equipment routinely. Send violation letters to owners who are not in compliance. Follow up with maintenance supervisor to correct condition deficiencies. Maintain clean common areas and work with maintenance for minor property updates and repairs. Investigate complaints, disturbances and violations and resolve problems following management rules and regulations. Assists with the operations, maintenance, administration, and improvement of commercial and residential properties. Assists with the direct collection of monthly assessments, rental fees, and deposits and payment of incurred operating expenses as well as the follow up with past due rent invoices, creating three day notices and starting the eviction process. Assists with Property Manager when meeting with prospective tenants to show properties, explain terms of occupancy, and provide information about local areas. Provides insights and ideas to the Marketing Department to market vacant space to prospective tenants through leasing agents, advertising, or other methods. Able to read and understand contracts. Can execute the lease process and forms. Comply with industry legal requirements, especially related to Federal and Local Fair Housing Laws. Remain visible in the business community and in the market place in which the company operates and provide a positive and professional image for the company. Proactively establish and maintain effective working team relationships and provide excellent customer service internally and externally. Provide a positive and professional image to the public and within the company. Skills and experience: Minimum 3 years of community/HOA management experience and/or Residential Property Management Experience, preferred Experience with vendor management and construction/maintenance issues Competence with budgeting, understanding and explaining financial statements Ambitious and self-starter mentality Exceptional verbal and written communication skills Proficiency in Microsoft Office applications (Word, Excel, Outlook, Publisher, PowerPoint) Strong organizational and time management skills; ability to multi-task and balance conflicting priorities Ability to build and foster relationships with residents, vendors, customers, and internal departments Customer service-oriented; Positive attitude; Ability to resolve conflict and mediate disputes Valid Driver's License Demonstrated ability to handle confidential information appropriately Schedule flexibility - some HOA meetings will be evenings Job Type: Full-time Benefits: Dental insurance Health insurance Paid time off Retirement plan Vision insurance Work Location: In person.
