Position summaryThis position would be supporting units as they comply with expected data governance standards, reviewing submitted Unit Record Retention Plans, applying Universities of Wisconsin records retention schedules to UW-Stout records, identifying records for disposition, and digitally processing relevant records for preservation. This position will work closely with the Learning & Information Technology (LIT) department and Compliance Specialist and will report to the Library Director and Chief Information Officer.
Position responsibilitiesUnit Level Training and Consultations - 20%
- Assists in designing and scheduling trainings for units
- Provides initial training to units, introducing the approved Unit Records Retention Plan
- Answers questions about implementing the Unit Records Retention Plan and applying the approved Universities of Wisconsin records retention schedules
- Assists with unit visits and records evaluations for records retention purposes
Unit-level Records Retention schedule reviews - 20%
- Reviews and gains a working knowledge of how to read the Universities of Wisconsin records retention schedules
- Applies and assigns records retention schedules to digital and physical records at UW-Stout
- Reviews unit records for disposition and retention
- Assists with identifying and transferring records to the UW-Stout Archives for preservation
Project management assistance - 15%
- Assists with evaluating digital records retention processes for each unit based on their use of Image Now, Microsoft Teams, and other data storage mechanisms
- Collaborates with the Data Governance Working Group, the Records Retention Working Group, UW Records Officer Council, and other relevant committees as assigned
Digital transfers of UW-System mandated archival materials - 20%
- Harvests relevant files from ImageNow for archival ingest into Stouts Institutional Repository
- Harvests relevant files from Microsoft Teams for archival ingest into Stouts Institutional Repository
- Assists with organization of ingests and overarching folder structure within Preservica Stouts digital preservation software
Digital files processing and preservation - 20%
- Assists with inventorying new digital accessions in Preservica
- Integrates digital ingests into existing collections or creates new digital collections
- Performs initial rough sorts of digital accessions that include weeding and arrangement within Preservica or before the ingest process
- Performs data cleanup and/or creates new metadata for existing/emerging digital collections in Preservica or before the ingest process
Other duties as assigned - 5%
QualificationsMinimum
- Bachelor's degree
- Strong interpersonal and communication skills
- Experience creating and delivering high-quality training and professional development sessions to diverse audiences
- Experience applying technology
- Demonstrated ability to work collaboratively
Preferred
- Master's degree from an American Library Association accredited library and information science program or related
- Demonstrated project management skills
- Evidence of problem-solving skills
