Assistant Registrar

Cincinnati State Technical and Community College is recruiting an Assistant Registrar to provide additional expertise and leadership within the Office of the Registrar. The successful candidate will collaborate with various departments within the college, alongside the Registrar, to facilitate the smooth functioning of all office processes, while also leveraging data to improve operational efficiency and student success initiatives. The Assistant Registrar will specifically oversee both the transfer credit evaluation and graduation processes and initiatives, including the annual Commencement event. This position requires strong organizational skills, attention to detail, proficiency in data analysis tools, and a commitment to maintaining confidentiality.

Specific Duties:

* Provide direct supervision of processing staff responsible for transfer credit evaluation and credential certification/graduation, including managing work assignments, prioritizing tasks, and ensuring efficient utilization of resources.

* Transfer Credit Evaluation:

* Work with academic departments to determine course equivalencies and transferability

* Serve as the point of contact for all Cincinnati State incoming transfer initiatives: including but not limited to Ohio Department of Higher Education coding requirements and third-party tools like TES and Transferology.

* Work in partnership with the Career Tech Pathway Office, Veterans Services, and designated faculty to ensure efficient recognition and processing of alternative forms of credit.

* Collaborate with the Office of Admissions on overlapping student onboarding activities

* Graduation Processing:

* Maintain and create reports of audits of student records to assist the divisions in credentialing appropriate students; this includes Credit When It's Due

* Coordinate with the College Credit Plus (CCP/Dual Credit) team to ensure a smooth credential certification process

* Support the Registrar and Commencement Committee in the management and execution of the annual Commencement event.

Essential Responsibilities:

* Student Records Management: Maintain accurate and up-to-date student records, including registration, grades, transcripts, and academic standing. Ensure compliance with FERPA regulations and other relevant policies regarding student confidentiality.

* Policy Enforcement: Enforce academic policies and procedures related to registration, grading, academic probation, and academic integrity. Provide guidance to students, faculty, and staff on policy interpretation and compliance.

* Data Analysis: Collect, analyze, and interpret data related to student enrollment, retention, and academic performance. Develop and maintain dashboards, reports, and visualizations to track key performance indicators and identify trends. Use statistical techniques to conduct predictive modeling and data-driven decision-making.

* Technology Utilization: Utilize student information systems and data analysis tools to maintain student records, generate reports, and facilitate efficient office operations. Participate in system upgrades, testing, and training as needed. Proactively research and evaluate emerging technologies and relevant tools.

* Collaboration and Communication: Collaborate with various departments, including admissions, financial aid, academic advising, and faculty, to ensure alignment of processes and information sharing. Communicate findings from data analysis to stakeholders and provide recommendations for improvement.

* Serve in the place of the Registrar when needed

* Other duties as assigned

Minimum Qualifications:

* Bachelor's degree from an accredited institution in a relevant discipline

* 3-4 years' experience working in a higher education setting

* Proficiency with Microsoft Office Products

Preferred Qualifications:

* Master's degree from an accredited institution in a relevant discipline

* Previous experience in a registrar's office, academic administration, and data analysis

* Knowledge of student information systems (e.g., Colleague)

* Proficiency in data analysis tools and software (e.g., Excel, SQL, Tableau, Power BI).

Comp. Range: $62,000 annual salary

Status: FT Non-Bargaining

Classification: Exempt

Retirement:
