Long Island University invites applications for the position of Associate Director of Events and Visitor Relations. The Associate Director will participate in the promotion, recruitment, and implementation of external University events and conferences. The Associate Director will serve as a point of contact for on-campus constituents in regards to campus events and functions, assisting with booking of space, generating work orders, and acting as a liaison to other University departments. The Associate Director will be based at the Brooklyn campus however will travel to/from the Post campus on a regular basis to coordinate events.
Event and Conferences Responsibilities:
* Advertise and recruit new external clients for conferences and events to ensure successful reach of revenue goals.
* Coordinate various events and conferences, including but not limited to; films, weddings, conferences, camps, overnight stays, and on-campus programs.
* Represent the University and department at fairs, trade shows, and conferences that help to promote University facilities and opportunities.
* Assist in the execution of major University events, including Commencement, Orientation, Admissions events, etc.
* Serve as a liaison between external/internal constituents and other University departments, including, Public Safety, Facilities, Tilles Center, Audio Visual/IT, etc.
* Manage Ad Astra, the University reservation system and book spaces and complete work orders for clients.
* Assist in the supervision of conference and event related staff, including student workers.
* Facilitate a robust summer conference and camp schedule that meets revenue goals.
* Along with the Director, help facilitate the daily operation of the Office of Conferences and Special Events, providing a professional and exceptional customer service experience for visitors.
* Assist in the management of the department budget and contract process. In addition, assist in billing and collections for all clients.
* Demonstrate exceptional customer service, strong knowledge of LIU resources and procedures, and a commitment to increasing external partnerships and clients.
* Serve in an event coverage rotation for internal and external events, as assigned by the Director. Education Requirements: Bachelor's Degree required
Training, Skills, Knowledge, Experience:
* Computer proficiency in Windows XP. MS Office, Desktop Publishing.
* Excellent communication and interpersonal skills.
* Excellent Interpersonal skills.
* Entrepreneurial orientation.
Working Conditions:
* Ability to work flexible/irregular schedule that accommodates conferences and events, this includes early mornings, late nights, weekends and holidays.
* Must participate in on-call event rotation schedule.
* Travel to/from LIU campuses on a regular basis.
* Ability to work at both indoor and outdoor events.
Materials & Equipment:
* Candidate must be able to lift equipment weighing up to 30 lbs. to a height of 4 feet.
* Must have a valid N.Y. State Driver's license.
