JOB TITLE: Associate Director of Development for Grants and Operations

REPORTS TO: Senior Director of Philanthropy

STATUS: Full-time exempt

SALARY: $65,000 - $75,000/yr DOE

POSITION SUMMARY

The Monterey Museum of Art seeks a talented and motivated Associate Director to join the dynamic advancement team. This position is 50% grant writing and management and 50% operational support for the Museum's development efforts, including overseeing a database transition and preparing for a capital campaign. The successful candidate will play a pivotal role in securing funds for the organization's programs and initiatives, as well as fostering strong relationships with existing and potential donors and members.

On the eve of a major capital and endowment fundraising campaign, this is an exciting opportunity for an individual who is passionate about fundraising and the arts, and who wishes to make a meaningful impact on the organization's mission.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Grant Writing and Management 50%

• Research, write, prepare, and submit grant proposals and applications for funding Museum activities.

• Work with Finance, Collections, Education, and other Museum staff to create project proposals, budgets, and other materials in support of the organization's funding requests as guided by the Executive Director and aligned with the criteria of funding agencies.

• Research and identify sources of support and proactively seek new opportunities.

• Initiate and maintain strong relationships between the Museum and grant- making organizations.

• Serve as the administrator for grants, ensuring that grant award stipulations are met, and accurate and timely reports are made to all funding sources that require them.

• Manage stewardship of grantors, including acknowledgment and recognition such as donor acknowledgment in credit lines, logo placement, press releases, etc.

• Utilize donor database and prospect management system to track pending requests, maintain donor profiles, and record proposal information.

• Maintain the grants management calendar and prepare for bi-weekly internal grants management meetings. 

Operations Support 50%

• Provide overall administrative and operational support to the advancement office, serving as a primary point of contact and resource for both internal and external constituents.

• Create briefings, schedule meetings and calls, and perform duties specific to the development function.

• Coordinate and execute a variety of annual fundraising initiatives throughout the year.

• Assist external-facing prospect managers including Executive Director with portfolio organization and prioritization.

• Produce and oversee acknowledgment letters, ensuring timely and accurate stewardship.

• Maintain accurate and up-to-date donor information, tracking donor interactions and notes in the database.

• Contribute creative ideas to enhance fundraising strategies and donor engagement.

• Function as an integral part of the Development team, attending events as needed.

• Assist the organization's membership program, aiming to retain and increase members.

• Assist in budget tracking and financial reporting related to fundraising and membership activities.

REQUIREMENTS

• Bachelor's degree required.

• Experience working in nonprofit fundraising/development.

• 3+ years of experience writing and managing grants in an arts organization.

• Strong organizational and multitasking skills, with keen attention to detail.

• Excellent written and verbal communication abilities.

• Proficiency in using fundraising software, CRM systems, and Microsoft Office Suite.

• Experience with Blackbaud products Raiser's Edge, Altru, NXT a plus.

• Ability to work independently as well as collaboratively in a team environment.

• Demonstrated commitment to the mission and values of the organization.

• Knowledge of fundraising best practices and ethical standards in the nonprofit sector.

ABOUT THE MONTEREY MUSEUM OF ART (MMA)

MMA was founded in 1959 and is a privately funded nonprofit with an operating budget of 3 million dollars. The Museum has endowed sources of support and raises approximately 1 million dollars annually. MMA currently has 20 full and part-time staff and more than 50 volunteers who lead the board or serve as docents.
