Description
The Associate Director of Visitor Services plays a pivotal role in shaping an engaging and welcoming campus experience for prospective students, families, and educators. This position oversees the operations and enhancement of campus visit programs, supervises a team of student ambassadors, and fosters relationships with educators and educational organizations to promote meaningful engagement. The Associate Director reports to the Director of Admissions and serves as a key contributor to institutional enrollment goals.
This role is essential in driving institutional engagement and fostering connections that inspire future students to join our community. The Associate Director of Visitor Services will lead by example, with enthusiasm and innovation, ensuring the campus visit experience reflects the university's values and mission. Robust supervision and direction of a team of tour guides along with management of the Admissions Welcome Center should ensure Pratt is presented authentically, and with warmth and attention to audience needs and wants in all modes of connection with our public.
Examples of Duties
Leadership and Program Development- Manage a student tour guide program through hiring, onboarding, training, scheduling and timesheet management
- Supervise, mentor, and evaluate the performance of student ambassadors, fostering a positive and professional environment
- Develop and implement a comprehensive training program for the Student Ambassador Program, ensuring ambassadors are well-prepared to provide exceptional experience to students, families, and educators
- Create and maintain training materials, ensuring consistency and alignment with institutional messaging

Campus Visit and Event Management- Oversee the daily operations of the campus visits, ensuring a seamless, welcoming, and premium experience for all guests
- Manage logistics and on-site staffing of the Admissions Welcome Center and for daily tours, including scheduling and training student staff
- Ensure facility access for our tours, regular review of scripts and routes, and periodically spot-check tour guide engagement with the public
- Coordinate and execute special admissions events, both in-person and virtual, such as individualized visits, admitted student days, and group tours
- Collaborate with directors of admissions to assign admissions staff to admissions events
- Collect and analyze visitor feedback to continuously improve visit programs and events
- Serve as the main point of contact for events coordination, including but not limited to facilities, security, departments, catering, room reservation and technology needs
- In collaboration with the admissions communications team, coordinate student ambassador participation in live or pre-recorded digital events, such as social information sessions, media takeovers, virtual campus tours, and student panels
- Work with the admissions communications team to promote visit programs and events through the website, digital platforms and marketing channels

Relationship Building and Collaboration- Build and nurture relationships with educators, school counselors, and educational organizations to expand outreach and engagement opportunities
- Create and maintain a database of educators, and collaborate with the admissions counselors to keep it updated
- Collaborate with other departments to align visit programs with institutional goals and enhance the visitor experience
- Act as a liaison for educators during visits, ensuring their specific needs and questions are addressed effectively

Reporting and Optimization- Utilize the Slate CRM to record, safekeep, and analyze events' yield on a weekly, monthly, quarterly, and annual basis
- Regularly evaluate the effectiveness of visit programs and ambassador training through staff and visitor feedback, and performance metrics
- Provide detailed reports and recommendations to the admissions leadership team for program enhancements
- Maintain the website pages for tours, visits, and events

Professional Development:- Attend all admissions leadership meetings and periodic trainings to remain cross-trained
- Stay proficient in the institute's degree programs, admissions requirements, policies, and technology systems
- Keep up to date with industry trends and best practices to remain competitive in the higher education space

Qualifications
Required Skills & Qualifications
- Bachelor's degree required
- 3 years of experience in admissions, visitor services, or a related field, with demonstrated success in program management
- 3 years of experience in leadership or supervisory roles
- Experience developing and implementing training programs
- Proficient in or willingness to learn various databases and CRM systems
- Strong ability to build and maintain relationships with diverse stakeholders, including students, educators, and families
- Excellent organizational, interpersonal, and communication skills
- Willingness and ability to contribute to a positive work environment fostering appropriate level of candor, respect, team collaboration, solutions-first focus
- Cultural sensitivity and ability to engage with diverse populations
