Optimal is looking for an Associate VP of Accounting and Finance. In this role, you will provide strategic and day-to-day support to the Chief Financial Officer (CFO), anticipating needs and offering suggestions for improvement. You will also manage divisional finance leads and oversee financial reporting and budgets.

About the Role

The Associate VP, Accounting and Finance is responsible for overseeing and enhancing financial processes, reporting and systems. Additional responsibilities include performing the accounting duties for Optimal Entertainment, Optimal Health and Optimal HQ.

Essential Functions, Duties, and Responsibilities:

  • Manage and oversee divisional finance leads and provide accounting guidance and expertise.
  • Oversee Optimal-wide financial reporting and budgeting, ensuring accurate and on-time reporting. This includes the preparation of consolidated monthly, quarterly, and year-end financial reporting packages along with Budget and Reforecast reporting.
  • Responsible for cash flow forecasting and analysis.
  • Assist CFO in developing, improving and maintaining accounting policies, controls and best practices.
  • Lead the annual audit by serving as the primary point of contact with external auditors. Coordination of all audit requests by working with divisional financial leads.
  • Coordinate with external tax accountants on state and federal taxes.
  • Ensure compliance with GAAP, ensure that month-end reconciliations are being completed accurately and in a timely manner.
  • Serve as the NetSuite system administrator and key contact for managed service provider.
  • Responsible for performing the accounting function for Optimal Entertainment, Optimal Health and Optimal HQ.
  • Manage accounts payables process including company credit card analysis.
  • Review and process all cash transfers and disbursements.
  • Ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
  • Handle monthly close and maintain general ledger for the divisions.
  • Monitor revenue and expenses and provide analysis and recommendations as necessary.
  • Prepare monthly financial reports, including P&L, Balance sheet and year-end reporting.
  • Maintain and establish, if needed, financial controls with the accounting department.
  • Adhere to administrative deadlines and be responsive to accounting and other administrative staff when called upon to provide information.
  • Perform other duties as assigned.
  • Minimum Qualifications & Skill Requirements:

  • Degree in Accounting (Bachelor's or Master's), and a CPA preferred.
  • 7+ years related work experience; advertising/marketing services industry experience a plus.
  • Strong proficiency of US GAAP.
  • Hands-on experience with general ledger accounting, monthly closing procedures, monthly issuance of financial statements, and payroll.
  • Knowledge of federal and state regulations on taxes and reporting.
  • Strong analytical skills and the ability to translate data into actionable insights and strategic recommendations.
  • Strong proficiency in Microsoft Excel.
  • Proficient with ERP systems, NetSuite experience a plus.
  • Experience building and leading high-performing teams, with a focus on mentorship, professional development, and fostering a collaborative work environment.
  • Ability to deliver high quality work on tight deadlines in a fast-paced environment, with strong organization and priority-setting skills.
  • Ability to build strong relationships and become a trusted partner by colleagues, advisers, stakeholders, and contacts.
  • Excellent verbal and written communication skills, with the ability to present complex financial information clearly and concisely to audiences of all levels to understand.

  • Office Hours

    This role is based out of our Austin, TX office. We work on a hybrid basis at our office locations, with many team members working entirely from home. Work hours are consistently 9:00 A.M. to 5:30 P.M., Monday - Friday, with the expectation that evening and weekend work will be required as necessary.
