BILLING COORDINATOR The Billing Coordinator is a key business role for maintaining a growing and successful firm. The Billing Coordinator is the financial counterpart of the design practice, requiring clear business understanding and comfort with financial information including costs/revenue. The role provides support and direction for the day-to-day office financial administration. This position offers an excellent opportunity for an individual looking to contribute to the long-term growth and success of our accounting team. Qualified candidates should be professional, savvy, and have an interest in the business side of a large and growing architecture/interior design firm. This person will create and maintain positive relationships with key clients and their financial counterparts at those clients' offices. The ideal candidate should be able to deal with a variety of personalities, be comfortable speaking with groups of people at all levels and comfortable working under pressure. Specific responsibilities of the role include:

  • Review project contracts for financial details and setting up projects in Deltek Ajera
  • Maintain project contract/financial files including prime and subconsultant agreements
  • Meet monthly or as required with PM's/ PIC's to review project plans and financial performance and recommend corrective action along with the Controller
  • Report on project performance monthly to supervisor - Controller & MD
  • Prepare project/sub-consultant invoices and work on deadlines for revenue cycle
  • Partner with design staff to improve architecture and interior design staff understanding of financial terminology and outcomes along with the Controller
  • Ensure a steady cash flow by generating, auditing and sending invoices in a timely manner
  • Collections of aged receivables
  • Timesheet management to ensure timely submissions and proper phase/ activity allocations
  • Project/ client related invoice management (including sub-consultants)
  • American Express monthly reconciliations and collection of receipts
  • Becoming familiar with Mosaic Software for operating use and train users on core features
Requirements:
  • Minimum of an Associate's degree in Business, Finance, Accounting or Economics
  • Minimum of 5 years of Billing/ Project Accounting in the accounting/finance department of an Architectural, Engineering, or Professional service firm required.
  • Proficient in Microsoft Excel (V-lookups, pivot tables)
  • Excellent interpersonal communication skills including the ability to: express ideas concisely and clearly to all levels within the company
  • Must possess the ability to review, obtain, and handle confidential information with the utmost discretion and professionalism.
  • Deltek Ajera experience a plus.
  • Ability to meet deadlines and work overtime as needed
