Butler Snow LLP, a multi-office, AMLaw 200 law firm, is seeking to fill a Billing Specialist position in our Nashville, Birmingham, OR Ridgeland, MS offices. This position performs a variety of duties and delivers high-quality services to internal and external clients, exhibiting commitment to integrity and excellence. The position requires thorough knowledge of all firm and practice specific administrative processes and procedures, information technology systems, research tools and a broad-based understanding of the clients, matters and associated practices. The scope of responsibilities includes prioritizing, managing and following through on multiple projects, and communicating effectively, courteously and professionally with clients, attorneys, staff and peers. This is a full-time position with a competitive salary, benefits and great in-house training opportunities.SUMMARY: The ideal candidate will have legal billing experience in a mid-size to large law firm. The Billing Specialist will be required to provide ongoing support to the Accounting Department by providing assistance with a variety of clerical related duties. These duties include editing and maintaining prebills, preparing reports, and other duties related to the submission of monthly billing.ESSENTIAL JOB FUNCTIONS:
- Prepare and revise preliminary billing statements as well as processing electronic invoices through various online client billing systems
- Prepare reports for management such as reports on accounts receivable and work in process
- Maintain client billing guidelines and supporting documents as well as monitoring and submitting invoices for various types of fee arrangements
- Validating universal billing codes
- Send notices for all incoming wire transfers to attorneys and secretaries
- Other duties as assigned
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
- Excellent computer skills, including experience using the Microsoft Office Suite (Word, Excel, Outlook, Access)
- Ability to work in a fast-paced environment and manage stressful situations, particularly when closing out a month or a fiscal year
- Exceptional interpersonal skills to communicate effectively with diverse groups of legal and support staff on confidential and sensitive firm matters, and experience working in team environments
- Ability to prioritize, organize, and manage workload to take the initiative in handling projects and anticipating what needs to be done
- Must be detail-oriented, highly organized, and have superior analytical skills
- Must possess the ability to multi-task while working under pressure to meet deadlines
- Knowledgeable about accepted accounting practices
- Work collaboratively and cooperatively with others while maintaining a high degree of professionalism and the ability to exercise good judgment
- Knowledge of universal billing codes relevant to the legal profession as well as experience with Aderant billing software is a plus
EDUCATION AND EXPERIENCE REQUIREMENTS:
- Bachelor's Degree in Accounting, Finance, or a related field of study
- 3-5 years in a finance-related role such as a billing clerk or billing supervisor
- Experience in a professional services firm or a similar services type profession
