Job Type Full-time Description Job Summary The Biospecimen Procurement Coordinator is responsible for sourcing, acquiring, and managing biospecimens for research and clinical studies. This role involves working closely with clinical sites, biorepositories, and vendors to ensure that specimens meet quality and compliance standards and are obtained in a timely and cost-effective manner. The ideal candidate has excellent communication skills, a strong understanding of biospecimen requirements for research, and experience coordinating across multiple stakeholders in a scientific or clinical environment. Key Responsibilities Biospecimen Sourcing and Acquisition o Identify and collaborate with clinical sites, biorepositories, and vendors to procure high-quality biospecimens that meet study-specific requirements. o Coordinate terms with suppliers to secure specimens within budget and timeline constraints. o Ensure specimens are ethically sourced, adhering to all relevant regulations and consent requirements. o Set clear and accurate expectations for biospecimen procurement Vendor and Site Management o Establish and maintain relationships with vendors, biorepositories, and partner sites to facilitate specimen acquisition. o Oversee and assess vendor performance to ensure timely and accurate specimen delivery and resolve any procurement-related issues. o Conduct regular audits of supplier processes to ensure compliance with quality standards and regulatory requirements. Documentation and Compliance o Maintain accurate and detailed records of biospecimen procurement, including source information, quality control documentation, chain of custody, and associated clinical data. o Ensure that all procurement activities comply with regulatory and institutional guidelines. Inventory and Logistics Management o Track and manage biospecimen collections to meet study demands, overseeing the transport and storage of specimens as required. o Coordinate with laboratory and logistics teams for the safe and compliant shipping of specimens. Stakeholder Communication and Coordination o Collaborate with Business Development Managers, researchers, and clinical teams to understand biospecimen needs, timelines, and budget constraints. o Provide regular updates on procurement status and troubleshoot any issues that may impact study timelines. o Work closely with laboratory team to address any quality issues related to specimen procurement or handling. Requirements Knowledge, Skills & Abilities o Strong knowledge of biospecimen handling, regulatory compliance, and procurement best practices o Familiarity with regulatory standards including HIPAA and regulations for the protection of human subjects in research o Knowledge of anatomy, medical terminology, and different disease types. o Ability to make sound decisions based on supporting data and evidence o Strong creative problem-solving skills with the ability to research and evaluate potential solutions o Skilled in planning, prioritizing, and organizing multiple tasks with varying deadlines, complexity, and levels of urgency o Strong and effective written and verbal communication skills, including ability to present and collaborate with others o Excellent customer service skills including active and empathic listening, responding appropriately and completing follow-up as needed o Basic knowledge of Microsoft office products such sorting and subtotaling in Excel, apply rules and sort folders in Outlook, creating documents from standard templates in Word, PowerPoint, etc. o Ability to utilize a camera and screen share during internal and external meetings Minimum Education & ExperienceEducation o Bachelor's degree in life sciences, biology, clinical research or a related field. Equivalent experience may be considered. Experience o Minimum of 2 years in biospecimen procurement, clinical research, or biobanking. o Knowledge of clinical workflow in a hospital or clinical setting is preferred. o Experience working with vendors and suppliers preferred. o Knowledge basic medical terminology and disease indications is required. o Experience in Microsoft office is required. Working Conditions | Physical Requirements Work Shift: Full time, normal shift Working Conditions: The physical requirements and working conditions are representative of those required on the job. o May require long periods of sitting working at a computer o Requires the use of typical office equipment (e.g. computer, phone, etc.) whether working remotely or in an office. Computer keyboarding, computer monitor and mouse use including reaching forward, grasping, finger and wrist manipulation, and neck bending and turning; near vision is necessary for computer monitor use. If working in-office, the individual will work in a typical office environment. High-speed internet access is required if working remotely at a home office, at the employee's expense unless otherwise required by law. o May enter or review lab environments where biohazardous materials are handled. Proper safety protocols and personal protective equipment will be provided. Language Skills: English required Travel: Occasional travel to biorepositories, clinical sites, or vendor locations to assess and facilitate specimen acquisition. Travel is primarily domestic within the 48 contiguous states. Infrequent international travel may be required.
