**Bookshop Manager**

**Background**

Dia Art Foundation was established in 1974 for the purpose of collecting, commissioning, and presenting major works of art made in the 1960s onward. Today it consists of eight permanent sites across the United States and Germany, as well as three changing exhibition spaces in New York State: Dia Chelsea in New York City, Dia Beacon in the Hudson Valley, and Dia Bridgehampton in Long Island. Dia is taken from the Greek word for through and conveys the foundations role as a facilitator of meaningful artistic experiences that can be encountered in single and repeated visits.

**Position Summary:**

Dias Bookshop Manager, based at Dia Beacon in Beacon, New York, is responsible for the management and oversight of Dias bookshops, which are located in Beacon, Chelsea, and online, as well as minimally in Bridgehampton. With an inventory of over 6,000 titles, including Dia publications, monographs, exhibition catalogues, volumes on architecture and design, childrens books, and regional titles, the Bookshop Manager is responsible for selecting and purchasing inventory, visual merchandising, and product development. Working alongside and supervising a full-time Bookshop Associate and two part-time Bookshop Attendants, the Manager is also responsible for enhancing the visitor experience through excellent customer service and sales. This position monitors and coordinates the daily operations of the sales floor and stock areas, manages ongoing sales, inventory levels, and sales reporting, and leads the annual inventory count in conjunction with the Finance department.

**Essential Job Duties and Responsibilities:**

**Operations and Financial Reporting**

Manage daily operations of the sales floor and stock area at Dia Beacon

Manage staff, schedules, and payroll at Dia Beacon, remain available and accessible via phone and email for questions from Dia Chelsea staff, as needed

Ensure bookshop staff are trained to provide excellent customer service, knowledgable about Dias collection and shop inventory, and well-versed in the Square sales system

Coordinate and manage staff trainings in both locations, as needed

Perform opening and closing procedures; handle cash, credit card reconciliation, and authorize refunds and exchanges at Dia Beacon; perform credit card reconciliation and authorize refunds and exchanges at Dia Chelsea

Perform visual merchandising in Beacon and Chelsea

Evaluate rate of sale to replenish sales floor and stock; coordinate shipments to Dia Chelsea and Dia Bridgehampton as needed

Manage bookshop budget; assist with preparing the annual budget, with attention to purchases and product development forecasting

Regularly run sales, tax, and other reports for the Chief Operating Officer as well as Finance and Publications departments

Manage the annual inventory count and prepare detailed reports for independent audit

Develop and maintain vendor relations including correspondence and invoices

Work closely with publishers, presses, and distribution representatives to stay up to date on new publications relating to Dias focus

Consult with Dia curators and Publications on new titles and print runs for Dia publications, centering a commitment to supporting diverse representation in shop titles and inventory.

Work closely with Dias consignment partners; track and report on their sales

Manage inventory and transactional processes for book fairs and launch events; prepare online and promotional presence, as needed

Manage design and product development for Dia merchandise; prepare a Design Request Form for Publications and Graphics departments to complete production

Fulfill interdepartmental book orders and purchases; act as primary liaison for distributing departmental comps and new publications

**Dia Art Foundation Publications**

Collaborate with the Publications department on projected sales to determine print run of Dia publications; coordinate shipping and archive Dia publications as they are published

Monitor and report sales activity of distributed titles; process pre-orders, as needed

**Online**

Ensure Dia publications are up to date on Dias online bookshop

With the Bookshop Associate, fulfill online book sales in a timely manner

Monitor and report sales activity

Collaborate with the Communications department on events, as needed

**General/Other Responsibilities and Duties**

Provide accurate information to visitors about Dia history, programming, and policies

Provide regional and public transportation information to visitors as well as driving directions, as needed

Manage, research, and resolve issues with bookshop software applications and serve as the systems liaison with the Information Technology department

Assist all departments with programming and fundraising events, as needed

Coordinate membership events with the Development department, as needed

**Education, Certification, Experience:**

Bachelors degree required, preferably in an art-related field

Minimum of 3 years bookshop management experience with strong administrative, retail sales, and purchasing experience required; must demonstrate prior experience that required fiscally sound practices and decision making

Related work experience in a museum environment is a plus

Proficiency required in Microsoft Office, specifically Excel; and POS Systems with reporting capabilities; ability to troubleshoot general information technology system issues

**Knowledge, Skills, Abilities:**

Must maintain knowledge of shipping and receiving policies

Staff management experience required; able to lead by example

Must have strong organizational, analytical, and project management skills; be detail oriented and able to prioritize and meet deadlines

Effective communication and interpersonal skills required; exceptional sales and customer service skills are crucial

Must have knowledge of contemporary art, art presses, and publishers; knowledge of Dia Art Foundation preferred

Knowledge of Hudson Valley cultural sites a plus

**Working Conditions and Physical Demands:**

Available to work on Dia Beacons open days (Friday through Monday) each week, including most holidays

Available to travel to Dia Chelsea in New York City once a month

Able to lift and/or move a minimum of 30 lbs

Able to sit, bend, and climb ladders

Able to stand for long periods of time
