Job Summary: About the Division of Extension: UW-Madison's Division of Extension serves the people and communities of Wisconsin by addressing local, statewide and national issues, improving lives through research-based education, fostering partnerships and action, and facilitating positive impacts. This position provides support to educational program delivery for educators affiliated with Burnett County Extension office, in particular the 4-H Educator. This position serves as a point of contact for individuals and groups providing basic organizational information via phone, in person, and through other communication medium. Job duties may include:- Serve as a point person for 4-H volunteers, 4-H members, and outside partnership agencies to answer questions or direct inquiries to appropriate staff.- Assist in organizing workshops, program materials, and events. Assists with the coordination of logistics (registration, communications, processing timelines, other details) for 4-H cultural arts festival, camps, scholarships, trips and other programs. Attend programming, as necessary.- Serve as a resource to manage and maintain 4-H enrollment information, 4-H charters, Annual Financial Records, award distribution, issue letters on behalf of educator, file 990n postcard, update calendars, send welcome packet to county 4-H members, distribute communication to appropriate parties including 4-H online events and manage membership/volunteers at the direction of the educator.- Help maintain the department website, databases, and other department specific social media sites as provided for under County policy. Responsibilities: Provides administrative support for a department, group of professionals, or to the manager of a work group consisting of professional staff and subordinate supervisors in support of unit goals, under general supervision
- 5% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
- 15% Serves as a first point of contact for individuals and groups, provides basic organizational information via phone, in person and through other communication mediums, and routes more complex inquiries to the appropriate entities
- 40% Collects, analyzes, and prepares various communication materials from established sources utilizing technology mediums
- 30% Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures under general supervision
- 5% Maintains established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
- 5% Maintain all department budgeted accounts including expenses and deposits, monitor accounts closely, reconcile monthly, and work with educators to anticipate program activities and related costs, placing orders for resources and materials.
