Role Description
This is a full-time hybrid role as a Business and Administrative Assistant with 60% on-site work and 40% remote work.
40 hours a week, $22-28 per hour
Key Responsibilities:
- Administrative Support: Handle incoming and outgoing emails, responding to inquiries and messages in a timely and professional manner
- Order Processing: Daily processing of book and course orders, manage customer invoicing, tracking shipments, and dropping off orders to post office
- Executive Administrative Support: 30-40% of time providing executive administrative and business support to the Owner of the company. Make all travel arrangements and create itineraries; prepare and review expense reports. Ensure all elements of the CEO's residence run smoothly, including setting up/maintaining vendors and onsite services. Handle set up and maintenance for personal services including pet care, cleaning, grocery, property etc.
- Report Preparation: Summarize educational evaluations on a quarterly basis or as needed.
- Inventory & Office Supplies Management: Maintain accurate and up-to-date book inventory before each sale and after each book restock. Monitor and order shipping supplies & flyers to ensure smooth operations.
- Event Planning: Organize team events such as FY strategy meetings & morale events, including logistics, space management and catering.
Required:
- Must live within 30 min of the University of Washington Seattle Campus
- Driver's license, car insurance and reliable access to a car
- Reliable – if you say you are going to do it, it gets done
- Thorough understanding of providing top-notch customer service
- Able to perform independently without prompting
- Excellent communication skills
- Designated storage space in a clean & dry area to store books and packing supplies (non-smoking, cat-free household)
- High school diploma or equivalent (Associate's degree or administrative certification is a plus).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational skills with the ability to multitask and prioritize.
- Occasional travel (2-3 times a year)
