Programs REPORTS TO: Appropriate Coordinator(s) Chief School Financial Officer JOB GOAL: To contribute to the efficient operation of the business office so that it can play its effective part in the education process. QUALIFICATIONS:• Minimum high school diploma/Associate Degree Preferred - 48 Semester hours of college coursework OR an Associate's Degree OR passing scores on the WorkKeys assessment (Business Writing, Applied Math Workplace Documents) Current and active application Computer literate Clerical/Bookkeeping skills Management/Organizational skills Approved background check conducted by Fieldprint PERFORMANCE RESPONSIBILITIES:
  • Maintains confidentiality of any school system related information
  • Maintains proficient computer skills/Experience with Microsoft Word Office and Google Drive.
  • Maintains proper and professional relationships with other employees.
  • Performs duties in a manner that promotes good public relations.
  • Follows Board of Education policies.
  • Assists coordinator in ensuring that maintenance of effort is upheld.
  • Prepares purchase orders, requisitions, vouchers.
  • Orders special education supplies as needed and maintains IDEA and itinerant teacher supply money.
  • Ensures that all orders are received and invoices are accurate and paid in a timely manner.
  • Maintains current inventory list of large print materials and returns to PATH by due date.
  • Prepares and maintains multiple contracts and issues monthly vouchers for contract employees and parent travel.
  • Completes SDE Annual Data Report.
  • Inputs financial data into the Fairbanks Medicaid Reimbursement program, ensures that personnel are accurately listed for Fairbanks claims and verifies that all personnel selected for Fairbanks Medicaid Reimbursement time samples completes appropriately and in a timely manner.
  • Maintains the PowerSchool/Special Programs program, ensuring the program is working appropriately.
  • Enters appropriate personnel data into PowerSchool/Special Programs as new personnel enter/exit the system.
  • Serves as contact person for technical issues with the PowerSchool/Special Programs program.
  • Ensures that PowerSchool/Special Programs updates are done as soon as possible and that special education personnel are notified of changes..
  • Participates in webinars for updates to PowerSchool/Special Programs.
  • Maintains preschool and private schools in the PowerSchool SIS program.
  • Monitors PowerSchool/Special Programs for Child Count accuracy and completes Child Count reports.
  • Assists coordinator in submitting Child Count data and other state reports in a timely manner.
  • Notifies teachers of upcoming meetings, completes blanket leaves as requested and organizes materials and meeting rooms for special education professional development.
  • Maintains current list of special education forms and copies forms and manuals for district personnel.
  • Maintains current list of special education personnel and makes changes as required.
  • Maintains record of current licensures for nurses, occupational and physical therapists.
  • Sends referrals to occupational/physical/mental health therapists and outside hearing and vision specialists.
  • Obtains sign language interpreters as needed for hearing impaired parents to fully participate in meetings and programs in the district.
  • Maintains current inventory of computers purchased for special education.
  • Assists with maintaining current inventory of auditory trainers and other assistive technology and works with companies to repair as needed.
  • Schedules and maintains audiometer calibrations.
  • Answers the telephone, handles calls and/or takes messages as needed.
  • Types letters, reports, memos, etc. as requested/needed.
  • Handles and distributes mail for the special education office.
  • Organizes brochures and other areas necessary for Special Olympics.
  • Assists in posting items to the district website.
  • Maintains a schedule of appointments and makes arrangements for conferences and interviews.
  • Welcomes visitors and arranges for their comfort, and screens unexpected callers in accordance with predetermined policy.
  • Performs other various related office duties as assigned.
  • Other duties as may be assigned as related to the efficient operation of the district program.
  • EVALUATION : Performance will be evaluated in accordance with provisions of the Board's Policy. TERMS OF EMPLOYMENT: Twelve (12) month contract. Salary according to approved Salary Schedule
