Job Overview:We are seeking a highly organized, results-driven Business Office Manager to lead and actively participate in the Business Office's day-to-day operations. This leadership role will oversee staff, manage department functions, and directly handle specific tasks to ensure the smooth and compliant operation of the Business Office, all while supporting our mission of delivering exceptional care to residents and their families.
Key Responsibilities:
- Team Leadership & Management: Oversee, mentor, and manage the Business Office staff. Monitor individual and team performance to ensure all tasks and objectives are met timely and accurately.
- Direct Involvement in Operations: The Business Office Manager will actively participate in day-to-day operations, including:
- Morning Reports: Attend daily Morning Reports to stay informed on resident statuses and collaborate with department heads.
- Utilization Management Meetings: Attend Utilization Management meetings to ensure residents receive the appropriate level of care and manage related financial implications.
- Guardianship Hearings: Represent the facility at Guardianship hearings as necessary to ensure the legal and financial interests of residents are properly managed.
- Education & Training: Educate and continuously develop Business Office staff on policies, procedures, and best practices, ensuring accountability across the department.
- Accountability & Performance Monitoring: Implement performance tracking metrics, ensuring staff accountability, and regularly review processes to promote continuous improvement and operational efficiency.
- General Office Management: Ensure smooth day-to-day office operations, including filing, data entry, and processing paperwork. Coordinate and ensure accuracy of all office functions.
- Accounts Management: Oversee the processing of overdue accounts, collaborating closely with the corporate team to facilitate collections.
- Client Communication: Ensure effective communication with residents and families regarding billing matters through in-person interactions, email, and mailing statements.
- Medicaid Compliance: Manage the preparation and submission of LDSS 3559 forms to the Department of Social Services. Ensure all Medicaid-related processes, applications, and recertifications are handled efficiently.
- Medicaid Assistance: Assist residents and responsible parties with the Medicaid application and recertification process, including requesting and obtaining necessary documents.
- Corporate Communication: Maintain ongoing communication with the Corporate Medicaid Processing Department to ensure residents' compliance with timely processing of Medicaid applications and recertifications.
- Admission Support: Lead the team in conducting financial interviews and completing admission agreements with residents and responsible parties.
- Interdepartmental Communication: Collaborate effectively with other departments to ensure continued insurance coverage for the residents.
- Confidential Reporting & Data Management: Ensure the preparation of confidential reports and maintain accurate, up-to-date filing and data records for operational efficiency.
Requirements:
- Education: Bachelor's degree in business administration, healthcare administration, or a related field preferred.
- Experience: Minimum of 3-5 years of experience in a nursing home business office or billing office with proven leadership experience.
- Leadership Skills: Strong leadership skills with the ability to manage, educate, and hold staff accountable.
- Customer Service: Exceptional customer service and interpersonal skills for interacting with clients and families.
- Organizational Skills: Ability to manage multiple responsibilities, prioritize tasks, and maintain data accuracy.
