The Buyer (Shared Services) plays a critical role in supporting internal clients, including Sales, General & Administrative corporate departments, and designated distribution centers. This position is responsible for managing the end-to-end Procure-to-Pay (P2P) process, ensuring seamless procurement operations, and optimizing purchasing efficiency. The Buyer will oversee supplier interactions, purchase order (PO) management, and invoice reconciliation while collaborating closely with internal stakeholders to drive process improvements and cost savings. Key Responsibilities Procurement & Purchasing Operations
- Manage the full P2P lifecycle, including handling Supplier Relationship Management (SRM) requisitions, PO creation, and invoice reconciliation using PDAP ReadSoft.
- Serve as the first-step SRM approver, reviewing purchasing requests for accuracy, completion, and compliance with procurement policies.
- Resolve approval workflow issues and provide guidance to internal clients on procurement procedures.
- Generate and transmit POs to suppliers and service providers, ensuring adherence to company procurement standards.
- Maintain comprehensive PO records, including confirmations, tracking updates, revisions, and retransmissions as needed.
- Act as a key liaison between internal clients and suppliers to address pricing, quantity, quality, delivery, and service completion concerns.
- Monitor and ensure on-time delivery and service fulfillment, proactively addressing delays and disruptions.
Invoice & Contract Management - Investigate and resolve invoice discrepancies such as pricing/quantity mismatches, missing POs, and processing errors within PDAP ReadSoft.
- Conduct monthly reviews of open and aged POs, coordinating with requisitioners to update and close out outstanding orders.
- Maintain a comprehensive record of annual blanket POs and contract POs, ensuring timely requisition submissions and renewals.
- Update PO pricing as required in response to system updates or supplier changes.
Cross-Functional Collaboration & Process Improvement - Support procurement team members on RFPs, RFIs, and RFQs for indirect purchases, contributing to supplier selection and cost optimization efforts.
- Continuously improve procurement processes by identifying efficiency opportunities, cost savings, and best practices.
- Balance multiple responsibilities, including email correspondence, SRM approvals, PO management, and ongoing procurement projects.
- Maintain clear, proactive communication with internal clients and suppliers through meetings, email updates, and organized tracking tools.
Required Qualifications - High school diploma or equivalent (Associate's or Bachelor's degree preferred in Business, Supply Chain, or a related field).
- Minimum 3 years of procurement, purchasing, or supply chain experience in a corporate or shared services environment.
- Strong Microsoft Office proficiency, with advanced Excel (pivot tables, VLOOKUP, data analysis) and PowerPoint skills.
- Excellent written and verbal communication skills, with the ability to engage stakeholders at all levels.
- Strong problem-solving, critical thinking, and follow-up skills with attention to detail.
- Ability to manage supplier relationships, interpret and enforce contract terms, and ensure compliance with corporate procurement policies.
Preferred Qualifications (Nice to Have) - Experience with SAP, SRM, ReadSoft PDAP, or other procurement/ERP systems.
- Prior experience in indirect procurement, particularly in corporate services or distribution operations.
- Understanding of procurement compliance, cost control, and supplier negotiation strategies.
