Job Description :
Position Purpose: This position will perform specific event facility support duties on-site during assigned campus events (wedding receptions, conferences, ministry events, etc.), mainly in the Cana Ballroom, and may work alone or with other attendant(s). While on assigned duty, Attendant will ensure all parish-owned property, equipment and furnishings are properly working and cared for during the event. Attendant is responsible for facility access, lighting, window shades, HVAC, A/V, security contact, inventory of parish property (including gathering linens), clearing, closing and securing the facility.Major Duties and Responsibilities: 1. Work events reliably on time as scheduled by Cana Ballroom Manager. 2. Welcome wedding party, introduce yourself and escort them to point of introduction, and be visible throughout event.3. Assist in directing guests only as necessary.4. Check and monitor proper operation of heating and A/C systems, ballroom lighting and window shades.5. Monitor and control all equipment and supplies (Supply rooms and kitchen area) (Track and list all additional supplies and equipment being issued to client.)6. Secure all stairwell doors, supply room, building equipment doors and street side doors. (as required.)7. Monitor all areas (bathrooms, hallways, banquet room and lobby) for security and safety issues.8. Advise, guess they are not to enter kitchen area (safety and possible food contamination). All guests need to be escorted in and out of kitchen area.9. Periodically check patio area and lobby area for any hazards or unsightly trash.10. Brief police officers of event duties, which are to patrol hallways, banquet room and upper parking lot 11. Problem-solve on the fly as needed to ensure smooth and satisfactory resolution of unexpected situations during events. Problems that could potentially arise would be power issues, A/V system reset, and additional setup of furniture. Assisting clients with last-minute needs in order to give the best possible experience. Cleaning any spills or fixing issues throughout the Ballroom, bathrooms, parking lots, etc.12. Participate in after-event evaluations as requested by Cana Manager to maintain and improve quality, efficiency and client satisfaction. 13. Maintain accurate inventory of supplies, including paper goods, linens, etc.14. Assist Boerne PD security in event of emergency evacuation, only if safe and directed to do so.Closing Cana Ballroom for the Evening 1. Direct police officers to clear all guests from building.2. Collect all table cloths and sashes from patio area.3. Ensure all food items are removed from walk-in fridge4. Ensure all water faucets are off and there is no smell of gas in kitchen5. Ensure that all trash has been removed from kitchen and banquet room to dumpster6. Ensure all blinds are up7. Ensure all projectors are off (not in standby)8. Ensure office door is locked with these items returned to Office•All remote controls•iPad tablet•Cana Ball Rm keys9. Pay officers at the end of the event.10. Secure all stairwell and perimeter doors before starting cleanup.11. Check all restrooms for guests or items left behind.12. Identify and report to maintenance staff any damage13. Inspect and ensure bar and kitchen areas are thoroughly cleaned and all trash is in dumpster.14. Account for all contracted items or other items used by client.15. Collect and inventory all table cloths by type and size. (8 per bag)16. Turn banquet room lights, lobby and hallway lights off when leaving.17. Email Cana Ballroom Manager and Maintenance Manager with a written After Event Report to brief how the night went and identify any maintenance issues.Attendants are not permitted to:•Serve alcohol•Consume alcohol during event•Wash dishes or bus tables during or after event•Handle or prepare food for guestsRequirementsRequired Qualifications•Must be a High school graduate or equivalent experience and be at least 18 years of age. •Have a strong commitment to the mission of St. Peter the Apostle Catholic Church. Must have good communication skills, verbal and written, excellent proven public relations and problem solving skills with strong attention to detail. •As a representative of the Parish, Attendant must exercise courtesy to fellow employees, parishioners and the general public. •Operational knowledge of, or ability to learn: commercial kitchen equipment; emergency shut off; audio-visual systems; computers iPads; etc..•Must be able to tolerate loud music, standing on feet for extended periods of time. •Ability to be on site until Midnight to 1am when required. •Must successfully pass a background, criminal history and credit history check.
