Description of JobThis positions performs duties in direct support of the Warden and management team to manage the facility's staff related activities. Position serves as liaisonwith DOC Human Resources, Risk Management and Payroll/Benefits in managing facility personnel programs. Position provides technical andadministrative support to the management team to assist in meeting facility goals and mission. Position is responsible for processing confidential information and providing effective customer service for internal and external stakeholders. Position effectively communicates and shares information on behalf of the Warden, while maintaining confidentiality, utilizing appropriatecommunication methods. Position utilizes CCIC/NCIC to clear individuals requesting entry into facility. Position serves as system administratorin utilization of internal staff telephone network, working closely with the DOC Communications Office to ensure that the system is keptupdated and all staff needs are met in a timely manner.Primary job responsibilities include, but are not limited to:
  • Establishes the procedures necessary for the implementation of the policies and procedures of CDOC and AVCF as they relate to the administrative support to various work units;
  • Provides staff services for facility by interpreting procedures and rules as outlined in Administrative Regulations, Implementation/Adjustments, Operational Memorandums, and/or through clarification from offices of authority;
  • Facilitates facility transitional duty program by coordinating all transitional assignments with Warden or Associate Warden, Risk Management and area supervisors, maintaining list of those on transitional duty, tracking dates during which these assignments are in effect, and ensuring required updates are received from employees to maintain compliance with work restrictions;
  • Publishes transfer announcements, prepares advertising for open positions, maintains job announcements, provides orientation for newly hired staff; provides instruction on supervision for staff who have promoted into positions where supervision is a new task;
  • Collaborates with managers on staffing of positions, preparing monthly activity worksheet showing internal and external movement of employees assigned to facility positions; entering all facility movement into the electronic system (HRMES) including Personnel Change Report, Position Descriptions, Performance Management Plan;
  • Other duties, as assigned.
Minimum Qualifications, Substitutions, Conditions of Employment & Appeal RightsMinimum QualificationsFour years of *general clerical experience which must include one (1) year of high level clerical experience.
