Responsibilities
    Interviews, hires, train, evaluate, schedules and supervises Central Distribution personnel.
  • Supervises daily operations of all Central Distribution activities by interfacing both hospital and outsource staff.
  • Supervises procedures for the materials electronic and manual distribution system, receiving, shipping, computerized inventory control, courier, rental equipment, equipment distribution, crash cart, linen, patient charge and collection.
  • Prepares policies and procedures manual for all Central Distribution functions for Managers approval. Reviews and revises procedures annually and as necessary.
  • Supervises the flow of inventory from receiving through distribution, assuring the quality and accuracy of product integrity. Including the put away process, restocking, par leveling and proper handling during distribution.
  • Supervising the inventory storage structures at the site of service and adjusts inventory levels associated with supplies, linen and equipment in agreement with the customer.
  • Supervises the Materials Management staff and outsource staff the proper priorities in performing daily operations and communicate routine emergency needs to individuals to assure proper operations.
  • Supervise the communication process by dispatching calls to Receiving, Central Distribution, Mailroom, Print Shop and Purchasing as appropriate. Refer customers to appropriate departments for additional follow up and service. Contact Biomedical Engineering to check incoming rental equipment and capital purchases prior to distribution.
  • Monitors document transactions, delivery logs for signatures, customer requests and notes exceptions, returns and resolves problems associated with these transactions.
  • Purchase supplies, equipment and services for Central Distribution with the approval of the Central Distribution Manager.
  • Monitors and assures timely processing of patient charge system, warehouse system, match audit report, Pyxis system, handheld system, cycle count system, UPS system, vendor return system, inventory adjustment system, MMIS system and equipment rental system.
  • Resolves problems associated with Central Distribution operations.
  • Supervises the data maintenance of the Pyxis computers, Materials Management computer (MMIS), PC workstations, UPS computer and handheld computers.
  • Supervises the data maintenance of manual data bases including receiving records, cycle count records, adjustment records, vendor return records, linen records, Central Distribution reports, inventory history, rental equipment history, Central Distribution forms, delivery log, phone call log book and Coordinators reports.
  • Assumes responsibilities of the other Materials Management Supervisor and Coordinators when necessary.
  • Performs miscellaneous duties and special projects as required by Central Distribution Manager.
Qualifications

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

Education:

  • 4 years college in a related field or 8 years equivalent job experience.

Experience:

  • 5 years experience in Materials Management processing customer orders or distribution of supplies.
  • 5 years computer experience with either PC or Main frame computer materials processing system.
  • Basic computer language and 4 years experience with either Word Perfect, Lotus 123, Excel, Word, Access or other word processing and database software packages.
  • 4 years experience coordinating staff or 6 years as lead person on a team.
  • 5 years of direct customer service or related work experience.

Minimum Physical Requirement:

  • Occasional lifting of 50 pounds
  • Constantly standing, walking and sitting
  • Frequently requiring finger dexterity
  • Constantly talking, hearing and seeing
