Central Services Receptionist & Finance Administrative AssistantClinton City SchoolsJob DescriptionReports to: Executive Director of Executive Director of FinanceTerms of Employment: 12 monthsSalary: Grade 63Nature of Job:The CCS Receptionist and Finance Administrative Assistant is responsible for managing all customers (both internal and external) who present themselves in the central office foyer. This includes providing information to all stakeholders, directing customers to other appropriate offices, announcing their arrival to administrators and applicable staff, and overseeing the overall central services management flow for visitors. The Administrative Assistant will greet and interact with visitors to Central Services positively and professionally, including in person, on the phone, and in writing. This person will also provide general clerical support to the Finance and Human Capital departments.Qualifications:
  • Associate degree (preferred)
  • Three to five years of customer service and finance experience
  • Possess a North Carolina valid driver's license and maintain an excellent driving record
  • Proficient in Microsoft Suite (Word, PowerPoint, and Excel)
  • Bilingual (preferred)
Essential Functions
  • Answers Central Office switchboard phone calls in a pleasant, informed manner to provide information and create a good image of the district
  • Greets visitors to the Central Office in a pleasant and informed manner
  • Interacts and answers questions professionally and appropriately with vendors, the public, and district staff in person, via telephone, or email
  • Keeps work area clean and presentable to guests while also ensuring that confidential information is secure at all times
  • Maintains confidentiality of information regarding staff and students
  • Responds to inquiries for referrals and directions as needed
  • Forward requests for information and messages to the appropriate individuals
  • Performs other clerical tasks as assigned, including word processing, creating databases, typing letters, proofreading, etc.
  • Order office supplies and maintain supply closets
  • Provides former students with student records requests information
  • Coordinates the annual cumulative file scan and archive process between the high schools and Scrib
  • Assist with the annual Expo events
  • Cross-training in all aspects of school finance
  • Assists with the annual Teacher and Principal of the Year banquet as well as the retirement banquet
  • Perform other duties as may be assigned by law, by the superintendent, executive director of finance, and by the policies, rules, and regulations of Clinton City Schools

  • Ability to communicate with school and district personnel, students, parents, and outside agencies

Physical Requirements
  • Work requires the regular exertion of up to 20 pounds of force, frequent exertion of up to 50 pounds of force, and occasional exertion of up to 50 pounds of force
  • Work occasionally requires standing, walking, stooping, kneeling, crouching or crawling with hands and arms, pushing or pulling, and lifting
