FULL-TIME [Exempt]: 40 hours

TheChief of Staffis part of the Executive Leadership Team (ELT) and reports directly to the President & CEO, providing the strong coordination and connection needed to ensure the effective and efficient execution of the organization's strategy. A strong problem solver, diplomatic change agent, and skilled in understanding organizational dynamics, theChief of Staffwill help to develop and guide processes that address challenges inherent in a multi-faceted organization. Communication is central to this role, where you will serve as a trusted partner, fostering information-sharing and knowledge-sharing throughout the organization.

In addition to handling projects of strategic importance, theChief of Staffwill oversee the administrative support team and will increase organizational integration and effectiveness, helping things run smoothly across business areas, internal departments, board committees, and working groups. TheChief of Staffwill function as the primary contact person for the Board and associated committees. This critical role also supports the Executive Leadership Team and the Board in implementing organizational strategy.

The role demands a highly trustworthy and resourceful individual with strong emotional intelligence and self-motivation who can think critically and offer both challenges and support. Tact, diplomacy, and persistence are essential for successfully navigating the diverse aspects of this position. The role requires balancing proactive behind-the-scenes support with a strategic, facilitative approach, combining focus and flexibility to drive and inspire innovative ideas.

Essential Responsibilities

Strategic Coordination and Alignment

+ Support the President and CEO in managing the organizational capacity plan and tracking strategic goals. Collaborate on performance dashboards, co-lead ELT meetings, oversee position requests, and coordinate key priority projects.

+ Operate with a clear understanding of the breadth of projects within the President's purview, making connections to achieve synergy and provide timely work-in-progress updates and/or action items

+ Coordinate and connect the activities of the Executive Leadership Team. Coordinate and facilitate Executive Leadership Team activities, including creating agendas and co-leading meetings. Manage the process for new position requests to ELT, provide strategic direction and coordination of organization-wide key priority projects.

+ Partner with the Executive Leadership Team to define and document strategic plans and implement the long-term vision, improving coordination across all departments.

+ Ensure alignment among stakeholders, support collaboration and engagement, and problem-solve where needed.

Communication and Strategic Collaboration

+ Act as a strategic thought partner to the President & CEO, providing insight, feedback, and counsel on key organizational decisions, helping to shape and refine the organization's strategy and vision. Collaborate closely to anticipate challenges, identify opportunities, and drive initiatives that align with the organization's long-term goals.

+ Facilitate communication between internal departments and external stakeholders.

+ Ensure the President receives a streamlined and prioritized flow of information. Oversee and manage all correspondence in and out of the President & CEO's office with a focus on identifying critical issues and potential risks that require immediate attention or escalation.

+ Draft and edit communication pieces, presentations, and reports on behalf of the President & CEO.

+ Prepare agendas, materials, briefing documents, and notes for meetings facilitated and/or attended by the President.

+ Spearhead select projects and initiatives as assigned by the President, including special event planning and logistics.

+ Support the flow of communication and knowledge sharing between the President & CEO and all levels of the organization

+ Represent the President's perspective internally and externally

Board of Directors Relations and Governance

+ Serve as the primary liaison for the Board of Directors and Board Committees.

+ Oversee the logistics for Board and Committee meetings, including venue selection, catering, and technology arrangements.

+ Direct the preparation and distribution of meeting agendas, materials, and minutes, ensuring timely and effective communication with all stakeholders.

+ Ensure the maintenance of Board records and enforce compliance with governance policies, providing strategic oversight to uphold organizational integrity and facilitate smooth interactions with the Board.

Administrative Operations and Facilities Team Oversight

+ Supervise the Administrative and Facilities team leads, building a strong team that ensures coverage of administrative functions to maintain seamless operations.

+ Provide the supervision and guidance needed to ensure individual and team development.

+ Fostering a strong team environment to support the organization's needs.

+ Managing administrative processes and ensuring smooth functioning across business areas.

Requirements

+ A Bachelor's Degree is required. An advanced degree is preferred or equivalent education and work experienceOR the work and education equivalency (seeCCSI's equivalency chart).

+ A minimum of 5 years of full-time paid experience with time spent working with executive leadership or boards in a nonprofit, governmental, or higher education organization is required. Experience working in philanthropy is a plus.

+ Strong self-awareness and strong personal presence; willingness to work hard and take direction, but also creatively solve problems for which the answers aren't always obvious

Salary Description

$90,000 - $105,000
