Theprimary role of the Chief of Staff will be support the needs of the CEO ranging from interacting with internal and external stakeholders, preparing for press events, reviewing contracts, agreements and legal advice, and assisting with making strategic business decisions. The Chief of Staff will receive general direction from the CEO, and interacts with executive officers, directors and members of the WWH staff as well as officials from regulatory and other institutions. The Chief of Staff must understand the responsibilities, needs and priorities of the CEO and maintain a high level of confidentiality allowing the CEO to focus on growing our business. The right candidate for the job will contribute to the long-term success of the company.Essential functionsCEO Collaboration & Oversight
  • Assist the CEO in facilitating effective decision-making
  • Work closely with all levels of executive management in coordination with CEO's tasks, schedule, and projects
  • Participate as an active listener on phone calls, conference calls, and video chats and follow up with take away items for CEO as well as other members involved in the meetings
  • Identify the need for and assist in the preparation of agenda materials for meetings which the CEO leads or attends
  • Assist in setting agendas for meetings, and convening meetings
  • Assist with sorting and filtering requests for the CEO's time while ensuring strategic priorities are met in a timely manner
  • Assist CEO with managing all requests including declinations of requests and negotiation of requests with attention paid to and consideration of time, pay, etc., while ensuring agreed upon requests support CEO's goals and goals of the organization
  • Travel with CEO to meetings
  • Assess inquiries directed to the CEO, determine the proper course of action and delegate to the appropriate individual to manage
  • Compose letters, memos, emails, and other business correspondence for internal and external use by the CEO on routine and confidential matters
  • Perform special projects as directed by the CEO, including the review, research, summarization, or analysis of information
  • Coordinate the execution of strategic initiatives
  • Assist with organizational strategic direction by providing critical insight and wise counsel
  • Act as an adviser to the CEO
Legal Coordination
  • Manage information flow to and from CEO, outside counsel, leadership team, and co-plaintiffs
  • Track court cases, i.e., settlement conferences, mediations, and trials and maintain calendar
  • Coordinate and participate in all phone calls/meetings with outside counsel, take detailed minutes and follow up on action items
  • Respond to discovery requests and manage document archives
  • Conduct legal research and writing
  • Maintain compliance with litigation parameters
  • Manage logistics related to meetings and document requests
  • Attend settlement conferences, mediations, depositions, and trials
  • Provide support at legal proceedings (on-site in courtroom/hearing)
  • Serve as the lead contact in the company for legal advice and litigation coordination with pro bono legal organizations and corporate counsel
Executive Leadership Coordination
  • Work with the Executive Assistant, Communications Staff, and HQ Office Administrator to schedule calls, meetings, and interviews
  • Liaise with internal and external contacts, prepare for executive management's and board meetings, media interviews, presentations, assist with special event coordination
  • Ensure all management staff issues are addressed properly, efficiently, and judiciously, and keep track of progress until resolved
  • Assist at drafting and editing presentations, responses to press events, and speeches (often preparing the first draft of speeches and lectures)
Experience and General RequirementsEducation
  • 4 year degree in Business Administration or related field; Master's degree preferred. JD or legal experience a plus.
Experience
  • 5+ years' executive level experience
  • Significant experience with high level administrative duties with managing calendar, activities, and tasks.
  • Proven track record with working with executive level management
  • Demonstrated ability to work with little supervision to ensure work is completed within deadlines.
  • Well versed in policy, healthcare, and advocacy
Skills

Physical Requirements
  • Must possess the ability and capability to perform any task in the office.
  • Must be able to lift 15 lbs or more, be able to physically move through the office unaided
  • Must have excellent visual and hearing acuity.
  • Must be able to travel, often on short notice.
