THE SALVATION ARMYNORTH & CENTRAL ILLINOIS DIVISION MIDWEST CORPS POSITION DESCRIPTION POSITION TITLE: Christmas Office Assistant LOCATION/DEPT: Midwest Corps REPORTS TO: Corps Officers FLSA CATEGORY: Non-Exempt STATUS TYPE: TPT OUTCOMES To raise the funds needed for the services provided to individuals and families by the Corps of The Salvation Army. This position will be responsible primarily for providing assistance in the finance office and at the reception desk as needed. ESSENTIAL DUTIES AND RESPONSIBILITIES
Answer incoming telephone calls and re-direct as needed. Interact with clients, donors and vendors arriving at office. Process and deposit donations, cartridge, and other receipts. Prepare and maintain donation records. Post receipts to the accounting software. Prepare matching contribution forms. Review and expense accounts payable. Post accounts payable items to the accounting software. Enter Christmas data in various software as needed, i.e.: Register to Ring Schedule volunteer bell ringers as needed. Assist at intake and Christmas distribution as needed. Pick up mail as needed. Courier deposits to the bank as needed. Interact with donors regarding donations and related questions. Prepare miscellaneous correspondence. File accounting reports, donor records, vendor correspondence, etc. Assist with records retention and shredding. Maintain custodial records as directed. Other duties as assigned. REPORTING RELATIONSHIPS Under general supervision of the Corps Officers with minimal freedom to plan, schedule and carry out responsibilities within established policies and guidelines. This individual relates to and interacts with a wide range of contacts both within and outside The Salvation Army. In these contacts, they act as a representative of the Army and its mission. PERFORMANCE MEASUREMENTS This individual will be evaluated on how effectively the outcomes of this position are achieved, as well as timeliness and accuracy of accomplishing assigned goals as outlined above. An evaluation of how effectively service is provided will be based on daily financial reports and profitability. EDUCATION/EXPERIENCE
- Must be 18 years of age or older.
- Minimum High School diploma.
- Prior experience in general office work is preferred.
- Valid Driver's license; MVR; Criminal and financial background clearance.

POSITION LIMITATIONS
- This individual will only commit Army resources that have been allocated or approved.
- This individual will keep the Corps Officers informed on all critical issues relating to their area of responsibility.
- This individual will adhere to all policies and procedures in carrying out the responsibilities of this position.
PHYSICAL DEMANDS/WORK ENVIRONMENT
- This position is required to do moderate physical work and sit for extended periods of time in a motor vehicle.
- In order to successfully perform the essential functions of this position, the employee is regularly required to stand for extended periods of time, communicate effectively, position self to stoop, kneel, or crouch; and frequently required to reach with use of hands and arms.
- Specific vision abilities include close and distance vision, and ability to focus.
- The work environment includes an office environment with use of PC and standard office equipment as well as outside environment (during winter months) with a low to high noise level. Ability to concentrate in such a workplace is essential.
- Must be able to travel to various kettle locations and have ability to lift up to 50 lbs.
