  • To clearly delegate and outline individual clerical responsibilities and serve as guide and reference.
  • To help contribute towards adequate and effective continuity of patient care by providing for sustained and efficient patient flow and productive utilization of clerical personnel.
  • To facilitate accurate and timely billing and reimbursement.
  • To enhance the patient experience and facilitate practice flow.
  • To augment and enhance work performance and morale of clerical personnel.
  • To ensure proper and timely revenue workflow.
Intake Processing (All of Ambulatory Care):
  • Greet patients in a courteous and professional manner using Acknowledge, Introduce, Duration, Explanation, Thank you.
  • Practicing improvement in patient and employee experience through iCare.
  • Ask patient for two (2) identifiers to insure patient's safety.
  • Verify appointment by checking against the Detailed Appointment Report (DAR) in scheduling system. Or utilizing the Snapboard. If patient does not have an appointment, clerk will request the intervention of the nurse in charge for further determination of patient's medical needs and disposition, or, if patient can be accommodated in a Same Day slot for provider and/or walk-in.
  • Check Managed Care assignment and PCP verification. Clerical Associate must verify who the PCP is to assure that patient is seeing their Primary Care Provider. Specialty Practice, Clerical Associate will verify referral in the EMR.
  • If so instructed by nurse, clerical associate schedule as same day and categorizes in scheduling system as WALK-IN or URGENT , if indicated.
  • If a patient has an appointment, checks patient in scheduling system, patient will appear ready, and hands off to PCA, nurse, or provider (or next person seeing patient).
  • Open encounter/ checks in patients. Record intake time on the scheduling system for cycle time processing, if indicated.
  • Verify patient's demographics (address, telephone number, gender, PCP, email address, social security, guarantor, insurance, race, ethnicity, language preferences, and emergency contact).
  • Verify the insurance response to verify insurance card information.
  • Collects and scan documents in system: consents, TPO, insurance card, Identification
  • Check to ensure patient has received the following; if necessary clerical associate will provide patient with a copy and an explanation, and obtain signatures:
  • General Consent
  • Patient's and/or Parent's Bill of Rights
  • Interboro Regional Health Information Organization (RHIO) agreement, if patient agrees to share information with the Primary Care Provider, if seen in an outside facility or emergency room.
  • Treatment, Payment, and Health Care Operations consent (TPO), which is an authorization from patient to view their health information for treatment, payment, and operations.
  • All consents must be scanned to complete registration.
  • Confirm/enter patient's preferred pharmacy.
  • Collects co-payments due after insurance verification is completed
*For Peds Only: Clerical Associate will ensure that patient is accompanied by a legal guardian if below the age of 18. If patient comes to practice without a legal guardian, will ask patient's companion to supply minor consent.*For Family Planning Only: Clerical Associate will check the CVR for completeness daily before inputting CVR's data in the Ahlers system on a daily basis.Exiting Process:
  • Reviews registration/disposition sheet, and wrap up section in EMR.
  • Issues next practice appointment as per provider's written instructions (some areas PCAs will give the appointment).
  • If indicated by provider, clerical associate will change patient's PCP and/or Alt PCP.
  • If needed, sends referral for HMO authorization before going to the Specialty Practice.
  • For patients requiring carfare reimbursement (i.e., Medicaid insured patients), prepares as per carfare reimbursement procedure and gives to patient as needed.
  • Check out patient in scheduling system (some areas PCA is responsible). This will record exact exit time (cycle time). Ensure that all patients have been clicked out for each session (am/pm), and collects any payments not collect at check-in.
At the conclusion of the afternoon practice session:
  • If patient was a DNKA (Did Not Keep Appointment or No-Show), will indicate that patient did not show up.
  • Send letters to patients that did not keep their appointments (DNKA) and documents in this information.
  • Checks work queues for reconciliation of visit encounters.
  • Ensure collections of copays are reconciled at end of shift.
Minimum Qualifications1. A high school diploma or its educational equivalent; and2. Six (6) months of full-time satisfactory clerical experience and/or experience interacting with the public, such as processing sales; taking, processing, and delivering orders; obtaining and dispensing information; listening to and resolving customers concerns, problems, and complaints; and/or performing related customer service activities.If you wish to apply for this position, please apply online by clicking the Apply for Job button.
