Job DescriptionPURPOSE OF POSITIONClerical Associates function as liaisons between patients, their families, physicians, nursing, administration and multiple other departments. They manage patient flow via EPIC (accept, transfer and discharge patients). They provide leadership with census reports, actively participate in unit PI projects, are responsible for interacting with our admitted patients to explain and secure patients' signatures on General Consent for Treatment, HIPPA, Acknowledgment of Receipt and Important Message forms and they prepare and secure signatures on discharge notices. Their responsible for checking the equipment on the unit and if damaged they call BioMed. They also check supplies and replenish them, keep work areas clean and organizedAREAS OF RESPONSIBILITIESUnit 4SUMMARY OF DUTIES AND RESPONSIBILITIESEquipment and Supplies Responsibilities: Check for receipt/completion of requisitioned items and report unfiled request to Supervisor; Monitor and regularly replenish inventory of administrative supplies (i.e. stationary) on unit: organize and maintain supplies inventory in an orderly manner. Ensure all current consent forms are available; discard all outdated forms. Report prospective shortage of supplies to Head/Charge Nurse and Supervisor/Service Line Administrator.Telephone Responsibilities: Answer telephone in a timely and professional manner; accurately record and transmit messages; locate doctors and nurses when needed; make telephone calls for patients; contact/locate providers for admissions, treatments etc. as needed make telephone calls to other divisions as directed; make appointment as directed; call for patient transportation as needed; contact agencies concerned with patient's care.Medical Records Responsibilities: Assemble new charts and emboss patient identification information on each sheets; complete form headings; add new sheets and thin charts as needed; maintain patient charts in standard order; obtain charts for providers; prepare slips and labels for specimens; place laboratory and x-ray reports on charts; ensure that charts are not removed from unit without proper authorization; ensure that all charts are accounted for and that discharge charts are promptly delivered to the Medical Records Department; maintain medical records log to demonstrate accountability for medical record delivery and receipt; ensure that the established minimum required number of blank records are maintained and readily available for use to expedite processing of new admissions process referral forms.Receptionist Responsibilities: Greet and direct patients' visitors; in accordance with unit security policies/procures, monitor and enable visitors' entry/exit the unit; in collaboration with the nurse-in-charge, carry out regulations relative to patients; visitors assist clergy, social workers, dieticians, doctors and other authorized visitors in locating patient; notify Supervisor and Head Nurse/Nurse-in-charge upon arrival of attorney, private physicians, police, district attorney, etc; notify supervisor/Service line Administrator upon arrival of official visitors to unit (i.e. surveyors, police, etc.).General Responsibilities: Communicate daily census information to Supervisor at start and end of tour; complete unit activity and other required logs; notify Admitting Office of admission, discharges, transfers and process paperwork related to patient admissions, transfer and discharges; complete 24 hour discharge notification forms; prepare and maintain PI data and metric reports; maintain designated with instructional pamphlets and booklets; post notices on bulletin board; remove outdated materials from bulletin board and ensure that board is maintained in a neat and organized manner; coordinate requests for messenger service grouping urgent and non-urgent errands; replace identification and allergy arm bands on patients when needed; participate in cardiac arrests activities and other unit emergencies as directed; organized and maintain unit documents files; maintain a safe environment for patients by ensuring the enforcement of safety policies; make clinic follow-up/post discharge appointments; attend continuing education program/training as scheduled; assist in the proper handling of patients' protected health information to ensure HIPPA compliance; maintain tidy work area; provide rotating clerical coverage as needed.
Minimum Qualifications1. A high school diploma or its educational equivalent; and2. Six (6) months of full-time satisfactory clerical experience and/or experience interacting with the public, such as processing sales; taking, processing, and delivering orders; obtaining and dispensing information; listening to and resolving customers concerns, problems, and complaints; and/or performing related customer service activities.NYC Health and Hospitals offers a competitive benefits package that includes:
