Position Overview:

Responsible for office administrative functions to include mailroom duties such as sorting and distribution of mail, as well as local specimen transport.

This position is full-time. Employees are required to have flexibility to work any of our 8-hour shift schedules during our normal business hours of 8:00am – 5:00pm, Monday – Friday. It may be necessary, given the business need, to work occasional overtime or weekends. Our office is located at 1968 Crompond Rd, Cortlandt, NY 10567, USA.

We offer 1-2 weeks of on-the-job training. The hours during training will be an 8-hour shift between 8:00am to 5:00pm, Monday - Friday.

Primary Responsibilities:

  • Sort CMM internal/interoffice mail twice a day and distributes to departmental recipients twice a day
  • Receive in daily packages from UPS, USPS and FedEx and distribute these packages to the appropriate staff
  • Organize and maintain office files
  • Pulls clinical information from fax machine, culls, sorts, and distributes
  • Rx refills
  • Medical record requests
  • Hospital inpatient and ER notes
  • Maintains a mailbox for all practitioners in the building
  • Assist clinical department with medical waste disposal management and documentation
  • Collecting and transporting lab specimens from clinical departments to the lab
  • Orders office and mail room supplies
  • Maintains water and coffee supplies for all break rooms in building on a weekly basis
  • Distribute all patient documents returned from medical records to the appropriate provider
  • Monitor, maintain and distribute new information for break room bulletin boards
  • Maintain key for medical waste closet to ensure the area remains neat and clean
  • Weekly distributes clean lab coats to the departments
  • Monitor, move and maintain proper signage for the providers
  • Sort and distribute invoices to appropriate departments
  • Collects lost and found items for PCM to handle
  • Assists department when items need to be stored or relocated
  • Scanning for the departments
  • Assist PCM with clerical tasks (copying, faxing, etc)
  • All other duties assigned

Required Qualifications:

  • High School Diploma / GED OR equivalent work experience
  • Must be 18 years of age OR Older
  • Minimum of 1+ years of related work experience, preferably in an administrative setting
  • Ability to work any of our 8-hour shift schedules during our normal business hours of 8:00am – 5:00pm, Monday – Friday. It may be necessary, given the business need, to work occasional overtime or weekends

Preferred Qualifications:

  • Knowledge of how to operate mailroom equipment
  • Knowledge of current postal regulations
  • Knowledge of computer-based programs, to include EHR when required
  • Proficient with all administrative tasks to include typing, phones and file management
  • Ability to interact courteously and communicate effectively with staff and the public
  • Ability to work as an effective team member and exhibit a positive attitude
  • Excellent customer service skills
  • Proficient with computers; knowledge of platforms, keyboarding and multi-screen management

New York Residents Only: The hourly range for this is $16.00 - $23.94 per hour. Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. UnitedHealth Group complies with all minimum wage laws as applicable.
