POSITION TITLE: Clerk IV - Enrollment Center

PRIMARY LOCATION: Attleboro; position may be eligible for a weekly schedule of both in-person and remote work in line with the college's telework policy.

REPORTS TO: Dean of Attleboro Campus

CLASSIFICATION SPECIFICATION: Series.doc

WORK SCHEDULE: Monday - Thursday 11:00am-7:00pm and Friday 8:30am-4:30pm

POSITION STATUS: This is a full-time, state funded, AFSCME, unit-classified position with benefits; some nights and weekends required during peak times.

SALARY: $46,888.66 annually*

Appointments from outside the bargaining unit begin at Step 1.*

STATEMENT OF DUTIES:

The Clerk IV will provide clerical, operational, and organizational support for the Enrollment Center at the Attleboro Campus. The Clerk IV will utilize web-based technology and traditional data entry processes to complete supplemental functions including, but not limited to, processing enrollment documents, reviewing forms for completeness and accuracy, as well as maintaining, checking and searching through electronic and manual files. They will be expected to respond to student, parent, faculty, staff, and community inquiries through various modalities; to include but not limited to phone, in-person, and email; and will generate routine letters and forms to students.

ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES:

* Manage the daily operations of the Enrollment Center.

* Provide clerical support to the Dean of the Attleboro Campus.

* Maintain working knowledge of departments such as but not limited to the Admissions Office, Testing Center, College Access, and Enrollment Center; participate in ongoing cross training as needed to remain current on all policies and procedures.

* Provide excellent customer service while communicating general information relating to admissions, financial aid, registration, and student records, both verbally and through routine correspondence to students, faculty, staff, and the general public.

* Operate standard office equipment including a personal computer, printer, copier, fax machine, etc.

* Utilize software applications, including Microsoft Office 365 (Word, Excel, Publisher, Outlook, and Access) to produce and develop letters, reports, brochures, mail merges, etc.

* Utilize the College's Management Information System (MIS) software, including but not limited to Banner, Argos, accessBCC, DegreeWorks, and campus event management system to fulfill office functions and reporting needs.

* Sustain working knowledge of MIS software and related upgrades to efficiently utilize and program office technologies in collaboration with Information Technology Services department.

* Process transactions by data entering application information and gathering supplemental documentation as per established guidelines.

* Maintain detailed office records in accordance with established guidelines via manual and automated processes.

* Prepare and/or process personnel actions and standardized forms, as necessary.

* Make referrals to the correct departments and/or personnel based on an understanding of college services.

* Explain FERPA (Family Educational Rights and Privacy Act of 1974) regulations, as needed, to students, parents, faculty and staff.

* Demonstrate a sense of professionalism and consistently reflect Bristol's core values while interacting with members of the Bristol community.

* Focus on the Commonwealth's Equity Agenda by applying related best practices throughout all job functions.

* Perform other duties as assigned, consistent with the Collective Bargaining Agreement.

Requirements:

EDUCATION AND EXPERIENCE:

REQUIRED QUALIFICATIONS:

Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office work, or (B) any equivalent combination of the required experience and the substitutions below.

I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience. *

II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience. *

III. A diploma for completion of a one-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience. *

IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of two years of the required experience. *

* Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.

NOTE: Educational substitutions will only be permitted for a maximum of two years of the required experience.

Demonstrated ability to:

* Understand and apply the laws, rules, policies and procedures governing Enrollment Center activities.

* Read, write, and comprehend the English language, including ability to use proper grammar, punctuation, and spelling.

* Follow written and verbal instructions.

* Assemble information in accordance with established procedures.

* Work accurately with names, numbers, codes, and/or symbols.

* File material in accordance with standard filing procedures.

* Maintain accurate records.

* Communicate effectively, both verbally and in writing.

* The ability to work effectively with a diverse student body, faculty, and staff.

* Reliable transportation in order to travel to and from meetings, trainings, or campus and community locations as required.

PREFERRED QUALIFICATIONS:

* Fluency in Spanish or Portuguese, including verbal and written communication.

* Minimum of an Associate degree.

* Minimum of three years of experience working with technology and student information and data management systems, preferably Banner and Argos.

* Demonstrated experience using Microsoft Office (Outlook, Word, and Excel).

* Strong analytical and problem-solving skills.

* Professional experience with admissions/enrollment procedures in a college setting.
